Executive Assistant with Bookkeeping Experience – CPA Firm
We are a growth‑oriented CPA firm seeking an organized, detail‑oriented Executive Assistant with strong bookkeeping experience to support firm operations and leadership. This role offers a dynamic blend of executive administrative support and hands‑on bookkeeping tasks, playing a vital role in the smooth functioning of the firm.
Position Overview As the Executive Assistant, you will provide high-level administrative support to firm leadership while managing essential bookkeeping duties. This hybrid role requires excellent organizational skills, proficiency with accounting software, and the ability to multitask in a fast‑paced professional environment.
Key Responsibilities
Manage executive calendars, appointments, meetings, and communications to optimize leadership’s time and priorities.
Handle client and internal correspondence professionally and promptly, serving as a primary point of contact.
Perform bookkeeping tasks including accounts payable/receivable, bank reconciliations, and maintaining accurate financial records.
Utilize QuickBooks Online and other software to keep financial data organized and up-to-date.
Organize and maintain confidential and compliance‑related documents in line with firm standards.
Support tax workflow coordination and document management during tax season.
Perform general office duties such as supplies management, filing, and project coordination as needed.
Qualifications
3+ years experience as an Executive Assistant or Administrative Assistant, preferably in a CPA firm or accounting environment.
Strong bookkeeping experience with QuickBooks Online software.
Proficiency in Google Workspace (Docs, Sheets, Calendar) and document management tools.
Excellent organizational, time management, and multitasking abilities.
Strong written and verbal communication skills with professional client‑relations experience.
Ability to handle confidential information with discretion and maintain compliance rigor.
Proactive, detail‑oriented, and able to work independently with minimal supervision.
Part‑time with the possibility of full‑time.
