Monday - Friday, 7:00 AM - 4:00 PM
Job Description: We are seeking a reliable and organized Administrative Assistant to join our team. The ideal candidate will excel in a dynamic and fast-paced environment, possess strong communication skills, and be able to handle administrative responsibilities with a high level of accuracy. A significant aspect of this role involves dispatching and coordinating with drivers via two-way radios while efficiently managing general office duties to support daily operations.
Key Responsibilities:
Serve as the main communication point for drivers and field teams, managing two-way radio communications to coordinate schedules, deliveries, and route adjustments. Monitor and track driver routes, delivery timelines, and address real-time issues or delays. Maintain accurate records of daily deliveries and operations logs. Assist in preparing and maintaining various reports, including delivery schedules, invoices, and maintenance logs. Perform general administrative tasks such as data entry, filing, and managing office supply inventories. Answer phones, greet visitors, and respond to inquiries in a professional and courteous manner. Assist with scheduling and coordination of logistics to ensure efficient operations. Liaise between drivers, customers, and management to provide updates and resolve any communication issues. Uphold compliance with safety procedures, company policies, and regulations. Qualifications:
Proven experience in an administrative or dispatching role, preferably in the construction, logistics, or transportation industry. Exceptional verbal and written communication skills, with the ability to manage two-way radio communications. Strong organizational and multitasking abilities, capable of handling multiple responsibilities simultaneously. Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. Ability to remain calm and professional under pressure, with a problem-solving mindset. Familiarity with logistics coordination, scheduling, or working with drivers is a plus. High school diploma or equivalent required; additional certifications in administration or logistics is a bonus. Working Conditions:
Schedule: Monday - Friday, 7:00 AM - 4:00 PM. Office-based work environment with frequent use of two-way radios and phone systems. Occasional collaboration with drivers and field staff requiring clear communication and coordination.
