Job Summary:
Responsible for the internal (company) and external (customer) coordination of all activities and documentation necessary for international and domestic product shipments. The role includes prioritizing shipping and packaging processes to meet on-time delivery goals, scheduling and maintaining the shipment calendar, preparing documentation for Letters of Credit, and ensuring proper record-keeping for all outgoing customer shipments.
Key Responsibilities: Coordinate and determine the best method of shipment with customers. Communicate effectively with the Commercial department to ensure customer specifications and expectations are met. Examine outgoing shipments to ensure compliance with specifications, documentation, and on-time delivery. Plan and direct the flow of finished product traffic to overseas destinations. Inspect invoices and shipping manifests for tariff and customs compliance. Prepare shipping and customs documentation for all exports. Order required shipping materials such as dry ice, LD3s, and packaging supplies. Review freight invoices for accuracy. Coordinate with carrier representatives to arrange loading and shipment schedules. Prioritize shipping orders to ensure timely carrier arrival and shipment dispatch. Prepare and package products, including labeling, dry ice handling, shrink-wrapping, and thermal wrapping as needed. Maintain accurate inventory of finished labels and shipping materials. Perform clerical tasks such as preparing correspondence and maintaining shipment and customer files. Communicate with customers via phone, email, or in-person regarding shipments, billing, or product issues. Address and route customer complaints to appropriate departments for resolution. Maintain documentation for customer orders, shipments, and sample-related activities. Manage the company’s shipping calendar, working closely with Quality Control and Manufacturing teams to meet deadlines. Maintain TSA shipment files and prepare monthly TSA activity reports. Collaborate effectively across departments in a team environment. Package consignments based on business needs and shipping schedules. Adhere to all facility safety policies and procedures. Maintain work area organization and documentation to meet ISO and GMP standards. Exhibit professionalism and communication etiquette aligned with company values. Required Skills:
Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Attention to detail and accuracy in documentation. Ability to work collaboratively across departments. Knowledge of export, customs, and shipping documentation. Familiarity with ISO 9001 and cGMP standards preferred.
Education:
Minimum of a High School Diploma, GED, or Associate Degree preferred.
Experience:
2–4 years of experience in a warehouse or manufacturing environment handling inventory control, packaging, and shipping duties.
Experience with international shipping processes and documentation.
Experience communicating with customers in a quality-driven company environment (ISO 9001 / cGMP).
