Description The Executive Assistant to the Chief Executive Officer (CEO) plays a critical role in advancing the mission and impact of the YMCA of Southwest Florida. Serving as the right hand to the CEO, this position provides high-level administrative, strategic, and confidential support, ensuring the smooth and efficient operation of the CEO’s office. The ideal candidate will be a poised and trusted professional who can manage sensitive information, exercise sound judgment, and represent the CEO’s voice and vision with authenticity and excellence. This individual will regularly interact with board members, community leaders, donors, and senior executives—requiring exceptional communication skills, professionalism, and a deep understanding of the Y’s mission and brand. Requirements Essential Responsibilities

Executive and Administrative Support: Manage and maintain the CEO’s dynamic calendar, ensuring strategic prioritization of meetings and events. Screen calls, emails, and meeting requests, responding independently when appropriate and exercising discretion at all times. Draft, proofread, and edit correspondence, presentations, reports, and public communications in the CEO’s voice and aligned with YMCA branding and tone. Coordinate travel logistics, itineraries, and expense reconciliations. Anticipate the CEO’s needs and proactively provide information, resources, and solutions. Board and Leadership Relations

Serve as the primary administrative liaison to the YMCA of Southwest Florida Board of Directors and its committees. Prepare and organize board and committee meeting materials, including agendas, reports, and minutes. Foster strong, professional relationships with board members and support communication between the CEO and the Board. Coordinate board engagement in key initiatives and community events. Organizational Coordination and Communication

Serve as the central liaison between the CEO, Senior Leadership Team, and key internal stakeholders to ensure alignment on priorities. Coordinate executive meetings, leadership retreats, and special events hosted by the CEO’s office. Track progress on major organizational initiatives and ensure timely follow-up on action items. Represent the CEO and the YMCA at internal and community events when needed. Community Engagement and Brand Stewardship

Draft communications, speeches, and talking points for the CEO that reflect his voice, leadership style, and alignment with the Y’s mission. Partner with the Marketing & Communications team to ensure all CEO-related communications uphold the Y brand and values. Build positive relationships with community leaders, donors, and partners as an extension of the CEO’s office. Handle all communications and information with the utmost confidentiality and professionalism. Confidential Advisory and Liaison Role

Serve as a trusted confidant to the CEO, exercising sound judgment and tact in all matters. Run interference as necessary, helping the CEO manage competing demands and maintain focus on strategic priorities. Maintain a pulse on organizational dynamics, providing insight and recommendations to support leadership effectiveness. Qualifications

Bachelor’s degree in business administration, communications, nonprofit management, or related field preferred. 7–10 years of executive-level administrative experience, preferably supporting a CEO or senior leader in a complex nonprofit or mission-driven organization. Outstanding written and verbal communication skills; proven ability to write in the voice of another executive. Strong interpersonal skills and the ability to engage with high-level leaders, donors, and community members. Demonstrated ability to handle confidential information with discretion and professionalism. Excellent organizational and time management skills, with the ability to handle multiple priorities simultaneously. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools such as Teams and SharePoint.
