Administrative & Finance Manager – Honors College (Job #252333)

Responsibilities

Manage all daily financial operations, forecasting needs, and collaborate closely with college leadership.

Perform financial analysis, accounting duties, payroll coordination, budget and report preparation, and related policy development.

Manage all accounts, reconcile accounts monthly, and review or create cost‑spending certification reports.

Monitor that money is spent correctly.

Create, manage, and maintain budget.

Coordinate, monitor, and approve all financial transactions and payroll action forms.

Prepare monthly reports for balanced accounts, verification reports, and management reports.

Review and negotiate college financial contracts. Oversee records maintenance for finance and personnel actions.

Analyze departmental financial procedures; make recommendations and develop strategy for change.

Assist with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state, and university policies and regulations.

Act as the HR and payroll coordinator.

Oversee job postings, hiring, and onboarding.

Work closely with the Dean to anticipate staffing needs, maintain current staff position descriptions, and create new roles as needed.

Provide support to the Dean in establishing MOUs.

Act as the college scholarship contact; provide guidance to scholarship and awards committee.

Provide projections for upcoming scholarship years.

Coordinate with central Scholarship Office on administration of scholarship payments.

Collaborate with Associate Dean and faculty program directors on programming budgetary needs, financial actions, and deadlines. Act as college administration and finance liaison, in communication with university central offices and other colleges.

Stay abreast of current financial and HR policies for university, state, foundation, and college, advising college leadership as needed to maintain compliance.

Perform various duties as needed to successfully fulfill the function of the position.

Qualifications

Required Education and Experience : Bachelor’s degree, AND 24 months experience as a manager in an Accounting, Finance, or Business Office.

Equivalence/Substitution : Will accept 48 months related experience in lieu of the Bachelor’s degree for a total of 72 months related experience.

Skills :

Accounting skills.

Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).

Strong analytical skills.

Detail oriented for accuracy of data and information.

Highly organized and ability to handle multiple projects and deadlines.

Ability to communicate well and build rapport with students, faculty and staff.

Ability to produce reports.

Ability to multitask and meet deadlines in a timely manner.

Demonstrates ability to learn, interpret, and articulate complex policies and procedures.

Willingness to work independently, collaboratively, and under supervision.

Certifications : None.

Physical Requirements :

Physical: Sit for prolonged periods. Communicate effectively and listen. Ability to engage in repetitive motion. Use of computer, calculator, and telephone.

Environmental: Standard office environment. Ability to work effectively with a wide range of constituencies.

Departmental Preferences : Experience working with students and faculty.
