Client Service Representative – Veterinary Receptionist Shore Haven Veterinary Hospital is seeking a full‑time

Client Service Representative

(CSR) to join our team in

East Haven, CT .

CSRs are valuable members of our veterinary team, and we treat them as such. As a CSR, you will be the client’s first and last impression of our hospital. It’s important that all clients feel welcome, safe, and comfortable, which is why it takes a person who can engage with both humans and animals alike with compassion, patience and understanding. The primary responsibility of a CSR is to be efficient in front‑desk operations while effectively bridging communication between pet owners and our veterinary team.

Essential Functions and Responsibilities

Deliver exceptional customer service to pet owners in a polite and timely manner, both in person and over the phone

Schedule and confirm appointments, record keeping and organization, provide estimates and invoices for payment

Respond with compassion and empathy in stressful and emotional situations

Maintain a clean, stocked and orderly lobby and front‑office area

Educate clients on wellness plans, pet insurance, food and products sold in the waiting room

Perform opening and closing procedures, end‑of‑day reports and deposits

Data entry: records, client questionnaires, referral information, etc.

Ensure that referral letters and lab results go to the corresponding veterinarians

Admit patient: ensure that the patient is weighed and all information is current

Skills and Qualifications

Minimum 1 year of experience in a veterinary setting, preferred

Customer service experience (high volume or call center), preferred

General computer skills and ability to learn multiple programs

Proficiency in front‑desk equipment (fax machine, credit card machine, copy machine, postage meter)

Must possess basic math skills when handling deposits and payments

Able to triage patients over the phone or in the waiting room to determine an emergency or routine office visit

Excellent communication skills and the ability to problem‑solve

Ability to handle stressful situations and prioritize tasks effectively

Team player, have patience and maintain a positive attitude

Must be able to work seated for the majority of the day
