Job Overview
Division Area Office Coordinator
(Student Equit‑ and Achievement Area, Student Services Wing) – Orange Coast College.
This is an on‑campus, full‑time (40 hr/week) classified position held at the EE‑117 salary level for a 12‑month contract.
Only current, active employees of the Coast Community College District are eligible to apply.
Responsibilities
Coordinate and implement academic and administrative processes for the division including faculty workload, curriculum, and schedule support.
Prepare, edit, and distribute faculty load records, class schedules, and related documents for committees and reporting.
Manage faculty and student inquiries regarding registration, prerequisites, and grade issues; provide timely and accurate responses.
Track and report faculty evaluations, teaching loads, and accreditation documentation.
Develop and monitor division budgets, process budget requests, reconcile expenditures, and report financial status to leadership.
Oversee personnel actions such as hiring, onboarding, time‑card entry, personnel action forms (e‑PAF), and payroll processing.
Coordinate board agenda items, contracts, and facility agreements; prepare meeting minutes and reports.
Support program units with enrollment analytics, resource allocation, and student success initiatives.
Assist with accreditation and self‑study documentation as required.
Maintain confidentiality of all student, faculty, and employee information and comply with district policies.
Qualifications
Bachelor’s degree in higher education administration, business, or related field (Associate’s plus five years progressive administrative experience acceptable).
Up to five years of experience in higher‑education administration, including workload management, faculty load tracking, or curriculum coordination.
Proficiency in Microsoft Office (Word, Excel, Outlook), student information systems, and data‑management tools.
Strong organizational, analytic, and communication skills with an ability to work with diverse stakeholders.
Knowledge of district policies, teaching load regulations, and HR procedures.
Demonstrated sensitivity to the diverse backgrounds of students and staff (California EEO requirements).
