We are seeking a highly organized, polished, and resourceful Executive Assistant to provide direct support to the President, Creative Director and senior leadership team. The ideal candidate is an experienced professional with exceptional judgment, attention to detail, and the ability to manage competing priorities in a fast-paced, dynamic environment. This role requires a proactive problem solver who thrives on solving problems, office coordination, driving efficiency, and representing the organization with professionalism and discretion.

Compensation

Compensation: $80,000 - $100,000 per year, depending on experience.

Classification

Classification: This is an exempt, salaried position. In accordance with the Fair Labor Standards Act (FLSA), you are not eligible for overtime pay. Your compensation is intended to cover all hours required to fulfill the responsibilities of your role.

Key Responsibilities

  • Provide comprehensive administrative support to the President, Creative Director and executive team, including calendar management, meeting preparation, and follow-up on key initiatives.
  • Coordinate internal and external meetings, presentations, and travel logistics, including business and private travel arrangements.
  • Manage confidential communications, correspondence, and sensitive information with discretion and professionalism.
  • Prepare polished documents, board materials, presentations, and reports.
  • Partner cross-functionally with other departments to ensure alignment and smooth execution of projects.
  • Oversee office management needs that promote smooth operational workflows to optimize efficiency and cost-effectiveness.
  • Assist in planning and executing company events, leadership meetings, and offsite gatherings.
  • Support expense reporting and financial reconciliation using tools such as Netsuite ERP and Microsoft Office Suite.
  • Handle a mix of business and personal tasks as circumstances arise, including external scheduling, internal scheduling, and personal travel planning as needed.
  • Proactively take initiative and own tasks to prevent issues from becoming urgent.
  • Manage the President and Creative Director's calendar and external communications with discretion and professionalism.
  • Anticipate scheduling conflicts and proactively resolve them.
  • Coordinate meetings with internal and external stakeholders, including investors, partners, and team members; prepare meeting materials, agendas, action items, and follow-ups.
  • Act as a gatekeeper while ensuring availability of the President and Creative Director when necessary.
  • Identify opportunities to improve processes and bring new ideas to streamline operations.
  • Take initiative to handle tasks before they become urgent.
  • Provide occasional support outside of standard hours for special events or urgent needs.

Qualifications

  • 5-7 years of experience in a role supporting CEO, President or other executive leaders.
  • Extensive knowledge of Microsoft Office applications, including Excel and PowerPoint.
  • Strong written and verbal communication skills.
  • Must be deadline-focused, organized and exhibit problem-solving skills.
  • Proven ability to manage competing priorities with a calm, solutions-oriented approach.
  • High level of professionalism, discretion, and judgment.
  • Tech-savvy and quick to learn new tools and systems.
  • Comfortable balancing executive-level business support and personal assistant responsibilities.
