We're looking for a Contract Talent Acquisition Coordinator (potentially full‑time) who can help us deliver an amazing experience for our candidates and keep our fast‑moving organization running smoothly.

In this role, you’ll be at the heart of our recruiting operations, coordinating interviews, streamlining onboarding and off‑boarding, managing HR systems, and supporting a variety of projects that keep our high‑volume environment efficient.

Responsibilities

Support multiple recruiters in a high‑volume hiring environment, prioritizing and following up on 25+ open requisitions.

Act as the key point of contact for candidates, managing communications and preparing interview logistics.

Organize and schedule interviews across multiple time zones, ensuring a smooth experience for candidates and hiring teams.

Monitor applicant flow in Greenhouse, correcting and updating candidate information and ensuring timely progression through the process.

Send offer letters and other hiring documents through Greenhouse or other HR systems.

Partner with hiring managers to schedule interview kickoff and debrief sessions, capturing notes and feedback.

Post roles on LinkedIn and other job boards, maintaining accurate and up‑to‑date postings.

Help onboard new recruiters and hiring managers to Greenhouse, providing light training or reference materials as needed.

Collaborate with HR and IT to ensure a smooth transition from candidate to new hire, confirming system access and onboarding documentation.

Coordinate background checks, reference checks, and offer approvals, ensuring all pre‑hire steps are completed accurately and on time.

Support recruiting team with efficient processes, including proactive follow‑up on candidate communications and scheduling.

Support recruiting team with purchase orders and invoices.

Utilize Greenhouse Recruitment and Onboarding tools to manage candidates, generate offer packages, reports, and continuously improve the system.

Requirements

2–5 years of experience supporting high‑volume recruiting, ideally in a fast‑paced biotech, life‑sciences, or startup environment.

Proven ability to manage 25+ open requisitions with organization and precision.

Proficient at learning new systems quickly.

Can‑do attitude and a willingness to roll up sleeves.

Exceptional organization and attention to detail with a commitment to confidentiality.

Excellent written and verbal communication skills.

Effective team player able to engender confidence and credibility at all levels.

Flexible mindset with the ability to thrive in change and growth.

Strong analytical and problem‑solving skills.
