The Director for Administration and Operations oversees and coordinates the daily operations of the College. The role supports administrative and operations staff, faculty personnel processes, budgets, facilities, technology, and compliance with accreditation standards. The Director partners with College leadership to implement best practices, drive continuous improvement, and support strategic goals. This position ensures operational excellence, high-quality service, and efficient resource management in alignment with the College’s mission. Essential Functions

College Operations—Direct and lead operations for all aspects of the College, including collaboration with the Dean, senior academic team, department chairs, and assistant deans. Oversee day‑to‑day operations, scheduling, materials management, contracts, technology, grants, and operational control systems. Ensure maintenance of classrooms, audio‑visual technology, equipment, machinery, and student learning spaces, including planned maintenance and replacement schedules. Provide technical support where necessary. Ensure quality and quantity of staff employee outputs and productivity through performance and compliance measures. Support capital budget requests and expenditures. Implement improvements and corrective actions as indicated.

Administrative Staff Management—Supervise and lead a team of administrative assistants supporting the dean’s senior academic team, department chairs, assistant deans, and faculty. Delegate tasks, establish work schedules, monitor performance, and ensure compliance with federal, state, university rules, and AACSB accreditation. Develop workforce planning, recruitment, and retention strategies. Maintain positive, professional, and motivated work teams.

Faculty Personnel Management—Collaborate with the dean, senior academic team, and department chairs to support faculty personnel management. Review staffing capacity and composition, recruit and onboard new faculty, manage annual performance review timelines for faculty, rank, and tenure, and lead faculty grant, sabbatical, and development processes. Liaise with sponsore dprograms administration, general counsel, and visa applications as needed.

Financial Management—Partner with the Director of Finance and dean’s senior academic team to prepare, manage, and control capital and operational budgets. Lead faculty payment and reimbursement processes and manage the college’s P‑card program. Use financial and academic data to establish performance benchmarks and operational dashboards.

Document Management—Ensure accuracy and currency of the college’s curriculum documents, bylaws, policies, meeting agendas, minutes, and personnel files.

Meeting Management—Support all aspects of college, department, and committee meetings. Oversee scheduling, room reservations, agenda development, note‑taking, communications, and follow‑up documentation.

Best Practices/Continuous Improvement—Formulate and implement operational policies and procedures to maximize output and service. Lead or collaborate on special projects. Plan support across interdepartmental areas for smooth workflow and cost‑efficient services. Promote industry best practices through benchmarking and key performance measures.

Qualifications

Bachelor’s degree required; business administration or related field desirable. Minimum 5‑7 years of successful experience managing administrative operations in a higher‑education context. Knowledge, Skills, and Abilities

Ability to develop and implement long‑ and short‑term operational plans aligned with institutional goals. Expertise in managing complex daily operations, facilities, and support services across academic and administrative functions. Strong proficiency in budget development, fiscal accountability, and data‑driven performance. Ability to lead continuous improvement initiatives while ensuring adherence to regulations.
