Litigation Legal Secretary

Overview The Litigation Secretary provides complex and specialized administrative support to assigned attorneys and paralegals. This role requires strong organizational skills, attention to detail, and the ability to work in a fast‑paced legal environment.
Responsibilities
Prepare legal documents, including transcribing from dictation, redlining, proofreading, and finalizing drafts
Manage incoming and outgoing calls professionally
Maintain and foster client relationships on behalf of attorneys
Review, date stamp, docket, and route incoming correspondence and pleadings
Enter attorney time records using Intapp daily
Organize and maintain legal files, ensuring compliance with document retention policies
Complete document processing and correspondence assignments accurately and within deadlines
Assist attorneys and other secretaries with administrative tasks as needed
Prepare new business forms, conflict sheets, and engagement letters for clients
Process expense reports, check requests, and reimbursements following accounting guidelines
Arrange for messenger services, copy center requests, and facsimile transmissions as needed
Copy and organize documents that cannot be sent to the Copy Center
Arrange and coordinate travel following company policies
Handle and review prebills for attorneys
Maintain and update attorney and paralegal calendars, including scheduling meetings
Prepare and file litigation pleadings and discovery documents, ensuring compliance with state, federal, and local rules
Maintain docket for pleadings and legal documents
Conduct legal research upon request
Perform additional duties as assigned
Qualifications
Proficiency in Microsoft Office Suite, iManage, and other legal applications after orientation
Availability to work overtime as required
Fast and accurate typing skills
Knowledge of court rules, procedures, and legal terminology
Prior experience as a litigation secretary
College degree or business college certificate
Ability to work independently and collaboratively in a fast-paced environment
Strong organizational and prioritization skills, with the ability to delegate tasks effectively
Demonstrates initiative, professionalism, and tact in all interactions
Excellent written and verbal communication skills, including proofreading and attention to detail
Professional and courteous demeanor when interacting with clients, co-workers, and court personnel
Reliable, committed, and punctual
