Position Summary This position works with the SPAO Pre‑Award Research and Support Office and collaborates with departments in the School of Medicine. The primary purpose is to manage the department/center’s pre‑award processes for all sponsored research activities, including full applications, maintaining filing systems, updating databases, and advising faculty, fellows and students on rules and regulations for agencies such as NIH, ACS, AHA, etc. The role also provides financial and operational management information to the Director of Research Administration, assists with post‑award grant management, compiles detailed budgets, and maintains regular communication with key university departments (HR, OSR, Provost, Dean, etc.). The candidate must demonstrate knowledge of university business functions, administrative offices, departments, and federal regulations.

Responsibilities

Manage pre‑award processes for all sponsored research activities.

Maintain electronic and hard‑copy filing systems and databases.

Advise faculty, fellows, and students regarding rules and regulations for multiple agencies (NIH, ACS, AHA, etc.).

Provide financial and operational management information to the Director of Research Administration.

Assist with post‑award grant management and compile detailed budgets.

Maintain regular communication with key university departments (HR, OSR, Provost, Dean, etc.).

Minimum Education and Experience Requirements

Entry‑level with a Master’s degree, or Bachelors with 0‑2 years of experience.

Required Qualifications, Competencies, and Experience

Demonstrated ability to establish and maintain effective working relationships with staff, students, high‑level officials, and faculty.

Operational knowledge and familiarity with scientific terminology.

Excellent command of MS Office Suite.

Excellent written and oral communication skills, critical thinking, and interpersonal skills.

Significant experience with office management, administrative practices, techniques, and technology.

Excellent judgment and decision‑making ability.

Proven ability to exercise discretion dealing with proprietary and confidential information.

Preferred Qualifications, Competencies, and Experience

Experience with grants and contracts.

Ability to prepare detailed financial reports and budgets in compliance with university policies and sponsoring agencies.

Extensive knowledge of university financial accounting, HR, and administrative systems.

Knowledge of NIH, NSF, DOD, and other awarding agency regulations and requirements, as well as RAMSeS, Connect Carolina, eRA Commons and related systems.

Certified Research Administrator (CRA) certification preferred.
