Group Sales & Events Coordinator

Responsibilities
Support Sales and Event Planning Staff in any requested tasks
Envision database management
Process weekly reports as requested
Ensure all information (copy of the signed contract, addendums, pertinent emails, etc.) is in Envision
Manage lead flow, completion, and database for group sales staff
Enter leads and update database to communicate correct information to property teams
Communicate with clients via phone, email, and database and manage workflow projects
Manage group sales accounts as requested by the sales team
Answer phones; qualify incoming inquiry calls and ensure all inquiries are dealt with accurately, timely, and professionally
Oversee lead flow, distribution, and management of new business RFPs, confirming business and extending leads to all three properties
Demonstrate awareness of established goals for each property and the role played in the sales process
Produce sales contracts, manage correspondence; pull sales reports; support group sales-facing marketing campaigns; manage department expenses
Maintain constant correspondence including prospecting efforts and thank-you letters for groups
Review group resumes, billing, etc. as needed and requested by Senior/Event Planning Manager
Assure that all administrative needs related to events are executed appropriately
Review hotel schedules, event schedules, and activity schedules as requested
Arrange guest amenities and special needs as requested
Interface with clients as directed by the Senior/Event Planning Manager
Stay informed on the latest trends for activities and programs of competitors and guest demands
Perform all tasks and provide services in compliance with policies, procedures, work instructions, training, codes of conduct, recognized best practices, safety laws and regulations
Work with group coordinator to finalize any commissions or rebates on group room block
Coordinate weekly BEOs for all groups as directed by the Event Manager
Attend pre-con and pre-arrival meetings for all groups as directed by the Event Manager
Oversee group calendar and bookings in conjunction with the group rooms coordinator

Qualifications

Understands the basic principles of planning events and customer service
Familiar with the operation of property management software, email, routine database activity, graphics, and Microsoft applications such as Word, Excel, and Windows
Knows how to operate printers and other front office equipment
Can prioritize tasks and handle multiple tasks simultaneously
Minimum 2 years of high-end sales and customer service experience preferably in a call center, sales/customers service and/or hospitality environment or a university degree with internship experience
Advanced technology proficiency with knowledge or ability to learn and lead with reservations software and booking systems
Exceptional verbal and written communication skills; ability to articulate resort information to guests and new agents
Previous experience in the development and delivery of training information
Exceptional time management, detail and organizational skills
Strong, compassionate leader with a self-sacrificing personality
Professional demeanor with exemplary verbal, written, and electronic communication skills
Completely flexible; able to work weekdays, weekends, mid-shifts, nights, and holidays
Strong customer service background
