Job Description
We are looking for a highly organized Executive Assistant to join our team in Indianapolis, Indiana. This is a Contract to permanent position, offering an excellent opportunity to support executives and administrative operations in a focused and dynamic environment. The ideal candidate will possess strong technical skills, a proactive mindset, and the ability to thrive in a fast-paced setting. This role is a contract-to-hire opportunity that is Monday-Friday 8AM-5PM, on-site, and parking is provided. The hourly compensation is based upon experience.
Responsibilities:
• Provide comprehensive administrative support to executives and team members, ensuring smooth daily operations.
• Manage incoming and outgoing mail, including handling shipments and ensuring timely deliveries.
• Assist with proofreading documents and correspondence to ensure accuracy and professionalism.
• Create and maintain Excel spreadsheets, including entering property data and generating forms.
• Conduct research on property management and industry-related topics to support projects.
• Utilize property management systems to update, retrieve, and organize information effectively.
• Troubleshoot and resolve minor office equipment issues, such as printer maintenance, and order necessary supplies.
• Serve as the first point of contact by managing the front desk and answering multi-line phone systems.
• Collaborate with executives on various projects, ensuring deadlines and objectives are met efficiently.
• Maintain a focused and welcoming office environment with a focus on organization and communication.
• Proficiency in Microsoft Excel and Word, with the ability to create and manage spreadsheets.• Exceptional proofreading skills with a keen eye for grammar and detail.
• Strong organizational abilities and the capacity to multitask effectively.
• Comfortable with technology, including basic troubleshooting of office equipment.
• Experience with property management systems is preferred but not required.
• Excellent interpersonal and communication skills, both written and verbal.
• A detail-oriented approach and the ability to handle confidential information responsibly.
• Previous experience in commercial or residential property management is a plus.
