$75,000.00/yr - $85,000.00/yr


A private investment firm in Chicago is looking for an Executive Assistant to join their team. The Executive Assistant will provide high-level support to senior leadership, including multiple top executives across the organization. You’ll play a key role in ensuring the executive team remains organized, focused, and efficient. This full-time position offers a competitive salary of 75k – 85k plus, offers a robust benefits package—including medical, dental, vision, 401(k), and paid time off.


Key Responsibilities of the Executive Assistant role:



  • Provide dedicated administrative support to senior leadership, including calendar coordination, meeting planning, and prioritization of daily activities

  • Organize internal and external meetings (both virtual and in-person), handling logistics such as catering, materials prep, and visitor coordination

  • Manage end-to-end travel planning—booking flights, hotels, ground transportation, and preparing detailed itineraries

  • Track and process expenses and reimbursements accurately and in a timely manner

  • Act as a point of contact for internal teams and external partners, maintaining professionalism and discretion at all times

  • Assist in preparing polished documents, presentations, and communications on behalf of executives

  • Support special projects involving research, file management, and process tracking across departments

  • Keep files, records, and office supplies organized to help the team operate efficiently

  • Work in close partnership with other administrative staff to ensure smooth coverage and seamless coordination


Qualifications of the Executive Assistant role:



  • 2–5 years of administrative experience supporting senior-level professionals in a fast-moving, corporate setting

  • College degree strongly preferred

  • Demonstrated ability to handle confidential information with a high level of discretion and professionalism

  • Exceptionally organized, detail-conscious, and proactive—able to anticipate needs and stay ahead of deadlines

  • Strong communicator, both in writing and in person, with a polished and professional presence

  • Confident using Microsoft Office tools, especially Outlook, Word, Excel, and PowerPoint

  • Comfortable working independently while also contributing as a reliable and collaborative team member

  • Positive attitude, self-motivated, and service-oriented—takes initiative and shows up with a no task too small mindset
