Description We are looking for a detail-oriented Administrative Assistant to support the operations of a local government office in the South Bay. This is a Contract position requiring a proactive individual with strong organizational skills and the ability to handle diverse administrative tasks efficiently. Ideal candidates will have prior experience in municipal government or clerking roles, though this is not mandatory. Responsibilities:
- Provide administrative support, including managing schedules, maintaining records, and coordinating meetings.
- Assist with clerking duties, such as documenting proceedings and preparing official records for commissions.
- Serve as a point of contact for incoming calls, responding to inquiries with professionalism and accuracy.
- Oversee accounts payable tasks, including processing invoices and maintaining financial documentation.
- Perform data entry tasks to ensure accurate and up-to-date records.
- Manage reception duties by greeting visitors and directing them appropriately.
- Support the preparation of reports, correspondence, and other written materials.
- Collaborate with team members to ensure smooth day-to-day office operations.
- Maintain compliance with local government policies and procedures in all administrative activities.
- Strong proficiency in data entry and office software applications.
- Demonstrated ability to handle accounts payable responsibilities, including invoice processing.
- Experience in clerking or supporting commissions and committees is highly desirable.
- Excellent communication skills, both written and verbal, for answering calls and corresponding professionally.
- Strong organizational and multitasking abilities to manage multiple priorities effectively.
- Familiarity with reception duties, including greeting visitors and providing assistance.
