Description Our client in the tech industry is seeking a highly organized and proactive Executive Assistant to support high-level executives and streamline daily operations. This role involves managing schedules, coordinating meetings, and providing critical administrative and project support to ensure the executive team's efficiency in a fast-paced, innovative environment. The ideal candidate is detail-oriented, resourceful, and tech-savvy, with a problem-solving mindset and ability to handle high-pressure situations. Key Responsibilities:
- Manage executive calendars, appointments, and meetings to ensure optimal time management and preparation.
- Coordinate and oversee all travel arrangements, expense reporting, and itineraries for executives.
- Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
- Prepare and edit presentations, reports, proposals, and other documentation on behalf of executives.
- Organize and manage meetings, including scheduling, agenda preparation, taking minutes, and following up on action items.
- Handle sensitive and confidential information with discretion and professionalism.
- Conduct research to support executive decision-making and provide insights on business trends and initiatives.
- Collaborate with other departments to support cross-functional projects and ensure smooth, organized workflows.
- Utilize technology tools to streamline administrative tasks, including CRM systems, document collaboration platforms, and workflow automation tools.
- Assist with ad hoc tasks to meet executive and organizational priorities.
- Bachelor's degree in business administration, communications, or a related field preferred; equivalent work experience considered.
- 5+ years of proven experience as an Executive Assistant supporting senior executives in fast-paced environments.
- Strong proficiency with technology tools and platforms, including Microsoft Office Suite (Excel, PowerPoint, Outlook) and other software such as Slack, Trello, Zoom, or Google Workspace.
- Exceptional organizational and time-management skills with the ability to manage multiple priorities.
- Superior communication skills (written and verbal) with excellent attention to detail.
- Familiarity with project management and workflow automation tools is a plus.
- Ability to stay composed and flexible under pressure while solving complex problems.
- Experience in the technology industry or supporting tech founders/executives is highly desirable.
