Description Our client is seeking a detail-oriented and highly organized Administrative Assistant to provide critical support to their team and help streamline operations. The Administrative Assistant will be responsible for managing schedules, coordinating meetings, handling correspondence, and ensuring flawless execution of daily administrative tasks. The ideal candidate is proactive, dependable, and has exceptional multitasking skills that help enhance workplace productivity. Key Responsibilities:
- Provide administrative support, including preparing reports, presentations, and correspondence.
- Manage calendars, schedule appointments, and coordinate meetings for executives and team members.
- Organize and maintain files, records, and documentation for efficient retrieval.
- Assist with travel arrangements, including booking flights, accommodations, and transportation.
- Respond to phone calls, emails, and inquiries, directing them to the appropriate party when necessary.
- Process and track invoices, expense reports, and other financial documentation.
- Monitor and order office supplies to ensure operational efficiency.
- Collaborate with teams to support special projects and meet deadlines.
- Contribute to a positive office atmosphere by engaging actively and professionally with clients, vendors, and staff.
- High school diploma or equivalent; Associate's degree or certification in office administration is a plus.
- 1-3 years of experience as an Administrative Assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptional organizational, time-management, and problem-solving skills.
- Strong written and verbal communication abilities.
- Ability to handle confidential information with discretion.
- Familiarity with office equipment (e.g., printers, scanners) and virtual meeting tools (e.g., Zoom, Teams).
- Attention to detail and a proactive approach to managing responsibilities.
