Position Summary We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our executive leadership. This individual will play a critical role in managing schedules, communications, and administrative tasks, enabling the executive(s) to focus on strategic priorities. The ideal candidate is a self-starter with excellent judgment, discretion, and professionalism.
Key Roles / Responsibilities
Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
Serve as a gatekeeper and primary point of contact for internal and external communications
Prepare reports, presentations, and correspondence on behalf of the executive
Organize and coordinate executive meetings, including agendas, logistics, minutes, and follow-ups
Handle confidential information with integrity and discretion
Assist with special projects, research, and event planning as needed
Monitor and prioritize emails, calls, and other communications
Maintain organized filing systems (digital and physical)
Track and process expense reports, invoices, and other financial documentation
Liaise with internal departments and external stakeholders on behalf of the executive
Required Education, Experience, and Qualifications
Proven experience as an Executive Assistant, Personal Assistant, or similar role
Exceptional organizational and time-management skills
Excellent written and verbal communication abilities
High level of discretion, professionalism, and reliability
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar tools (e.g., Google Calendar)
Ability to multitask and adapt in a fast-paced environment
Strong problem-solving skills and attention to detail
Bachelor’s degree preferred, but not required
Working Conditions
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift 15 pounds at times.
Positions self to install equipment, including under desks.
Moves throughout the building to access files.
Must be able to comprehend and follow written and oral instructions.
Must be able to complete tasks even with frequent interruptions.
Must be able to use discretion and independent judgment as needed.
Must be able to speak clearly on the phone and to fellow workers.
