Become a Key Player as an Administrative Assistant
As an Administrative Assistant, you will support three Senior Directors in Adobe’s Express Product Management Marketing group. You’ll keep operations running smoothly through expert calendar, travel, expense, and event coordination while partnering closely with cross-functional admins and business operations. This is a Hybrid role with three days each week onsite in San Francisco; occasional onsite support for offsites and flexibility to travel to the San Jose office. This staffing/contract assignment runs through 04/24/2026 to cover a leave of absence.
Here’s How You’ll Make an Impact on the Team
- Coordinate complex calendars and schedule meetings across global time zones, including team meetings, all-hands, offsites, external customer meetings, and executive engagements.
- Plan and book domestic and international travel: itineraries, transportation, accommodations, and visa processing.
- Process expense reimbursements, manage invoices, and handle purchase orders accurately and on time.
- Plan and coordinate team events such as all-hands, offsites, external meetings, and team-building activities.
- Organize weekly staff meetings: track agenda items, invite guest speakers, compile and publish agendas in PowerPoint, and partner with Business Operations.
- Handle office coordination needs (space, equipment, software) and support major events.
- Provide on-site support at San Francisco offsites and be flexible to travel to the San Jose office as needed.
- Collaborate regularly with cross-functional Administrative and Executive Assistants.
Here’s What You’ll Need to Be Successful in This Role
- 4–6 years of Administrative Assistant experience in a high-tech organization.
- Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Navan, and Slack; familiarity with Concur or other expense-reporting tools.
- Bachelor’s degree or equivalent work experience.
- Strong time management, planning, and organizational skills with exceptional attention to detail and accuracy.
- Ability to work autonomously, be resourceful, handle complex assignments, and demonstrate initiative and follow-through.
- Flexibility, teamwork, and comfort with change in a fast-paced environment.
- Strong interpersonal skills and discretion handling sensitive and confidential information.
Pay Range
$35.49 - $44.37/hour
