Job Objective:

Performs secretarial and ancillary program support services.

Minimum Qualifications

High school diploma or GED. Significant secretarial and data processing work experience.

Ability to implement office administration principles (i.e., organization, procedures, etc.).

Essential Functions

Delivers effective secretarial services. Sustains a supportive office environment that advances professionalism and a shared commitment to organizational outcomes.

Identifies work priorities to focus on tasks that require immediate attention.

Assists office visitors. Answers routine questions or directs inquiries to appropriate staff.

Answers/directs telephone calls. Prepares detailed messages when employees are not available.

Sorts and distributes mail. Prepares photocopies. Collates printed materials.

Schedules appointments. Organizes materials for meetings. Transcribes minutes as requested.

Prepares enrollment/withdrawal records. Obtains authorized "release of information" consent forms. Processes custody/legal residence verifications, health records, school transcripts, etc.

Organizes permanent records, student schedules, rosters, etc.

Assists students with class/program registration and scheduling modifications.

Collects and maintains staff and student medical emergency authorization forms.

Updates attendance policy information. Helps ensure policies are uniformly enforced.

Collects attendance forms. Verifies attendance information for report cards.

Contacts parents or guardians when the school has not been notified about a student's absence.

Authenticates student requests to be dismissed during school hours. Processes late arrivals.

Notifies teachers about homework requests for absent students.

Maintains student discipline files (e.g., expulsions, hearings, letters, etc.).

Processes interim reports, report cards, and supplemental information.

Maintains a building calendar. Processes community requests to use building facilities.

Manages/updates school website information.

Provides backup support for other departments. Assists with special projects as directed.

Assists with the office inventory control system to ensure dependable supply levels.

Prepares purchase requisitions. Maintains procurement records. Receives deliveries. Reconciles invoices. Monitors vendor performance.

Maintains effective document and records management systems. Prepares timely files. Monitors reporting deadlines. Complies with district records retention and disposal policies.

Performs all aspects of the job with diligence and quality.

Develops respectful relationships with co‑workers. Works as part of a cohesive team.

Maintains professional appearance and attire appropriate for the position.

Respects privacy and safeguards confidential information.

Shows reliable attendance and adherence to work schedules.

Physical Demands Level 1:

Sedentary strength (seldom lifting/carrying more than 11 lbs.). Duties require communicating verbally, far/near visual acuity, fine/gross manipulation, reaching at or below shoulder height, standing, and using a traditional keyboard.
