Job Summary The Procurement Manager supports strategic sourcing and purchasing operations across the organization. She/He will execute efficient and compliant procurement processes that meet internal stakeholder needs, maintain strong vendor relationships, and drive cost-effective decision‑making. The ideal candidate has extensive procurement experience, deep expertise in NetSuite procurement modules, and data‑driven sourcing practices. This position works cross‑functionally to advance fiscal discipline, compliance, operational efficiency, and organizational impact with an emphasis on centering disabled people.

Essential Functions Procurement & Purchasing

Coordinate end‑to‑end procurement activities including RFIs, RFPs, RFQs, vendor selection, purchase orders, and invoicing.

Maintain up‑to‑date vendor and item records within NetSuite; manage catalog, item pricing, and supplier performance data.

Serve as a subject matter expert on NetSuite procurement processes and system configuration, support training and troubleshooting.

Collaborate with departments to gather purchasing needs and recommend sourcing strategies that align with organizational goals.

Ensure procurement processes are compliant with internal policies and applicable regulations.

Monitor open POs, backorders, inventory discrepancies, and invoice issues; proactively resolve problems with vendors or internal partners.

Partner with Finance and Operations to align purchasing activity with budget planning and forecasting.

Strategic Sourcing & Vendor Management

Analyze procurement data to identify cost‑saving opportunities, supplier consolidation options, and standardization efforts.

Support contract negotiation and management, including terms, pricing, and service level expectations.

Monitor and evaluate supplier performance, conduct periodic reviews, and recommend improvements or alternatives as needed.

Build strong cross‑functional relationships to improve the procurement experience for all departments.

Process Improvement & Compliance

Lead procurement improvements in facilities and office support processes, workflows, documentation, and scheduling.

Identify procurement technology or vendor solutions that support organization long‑term growth and operational efficiency.

Partner with Finance, Administration, HR and IT to implement systems that streamline procurement cross‑departmental support.

Collaboration & Organizational Support

Participate in cross‑functional initiatives to improve supply chain resilience, equity in vendor selection, and sustainability goals.

Support improvements to the operations department’s physical inventory processes and special sourcing projects across sites.

Provide occasional subject matter expertise support for warehouse or facilities‑based inventory needs.

Requirements MINIMUM QUALIFICATIONS

5+ years of experience in procurement, purchasing, or supply chain management, with 2 years in a strategic capacity.

Advanced proficiency with NetSuite procurement and vendor management modules, or similar experience with a comparable ERP system (e.g., SAP, Oracle, Microsoft Dynamics).

Experience with procurement compliance requirements and audit standards.

Experience with contract administration, sourcing best practices, and supplier performance evaluation.

Strong attention to detail, organizational skills, and follow‑through.

Excellent communication and stakeholder engagement abilities.

Strong analytical skills and comfort using procurement data for decision‑making.

Preferred Qualifications

Experience in nonprofit, mission‑driven, or social enterprise environments.

Procurement or supply chain certification (e.g., CPP, CPPM, or CPPC).

Experience managing procurement across multi‑site or distributed operations.

Familiarity with equity‑informed or socially responsible sourcing practices.

Exposure to grant‑funded purchasing or federally funded procurement compliance.

Lean, Six Sigma, or other continuous improvement training or certification.

Knowledge, Skills, And Abilities

Highly proficient in modern ERP procurement modules (NetSuite preferred).

Highly proficient in Microsoft Office suite.

Detail‑oriented with a strategic mindset.

Able to manage multiple priorities while ensuring accuracy and compliance.

Collaborative and service‑oriented approach to working with internal stakeholders.

Calm, proactive problem solver with strong negotiation skills.

SCOPE & ACCOUNTABILITY Reports directly to the Director of Finance.

SUPERVISORY RESPONSIBILITY Ability to work with moderate supervision and independent decision making.
