Overview:

Deep Sea Atlantic North America (DSA NA)— a pioneer and market leader in the seafood industry — is seeking a highly organized, detail-oriented, and tech-savvy Administrative Assistant to join our growing team.

This role is designed to support the Logistics Manager and Administrative Department by handling essential day-to-day logistics and office management tasks. The ideal candidate will be efficient, proactive, and comfortable using technology to streamline workflows. You’ll play a key role in coordinating logistics updates, supporting the warehouse team, and maintaining smooth office operations.

Responsibilities: Logistics & Operations Support

  • Monitor ETA (Estimated Time of Arrival) for inbound and outbound containers, ensuring timely communication and updates.
  • Assist with phone calls related to shipments, deliveries, and general inquiries.
  • Monitor frozen pick‑ups with the warehouse to ensure proper coordination and execution.
  • Manage frozen special order requests and coordinate with the logistics and warehouse teams for fulfillment.
  • Support the Logistics Manager with scheduling, shipment documentation, and day‑to‑day operations.
  • Prepare and track Bills of Lading, invoices, and shipping documentation.
  • Maintain accurate records of shipments, inventory, and container tracking in company systems.

Administrative & Office Management

  • Manage front desk operations, including greeting visitors and handling inquiries professionally.
  • Maintain organized digital and physical filing systems for documentation and compliance.
  • Oversee office supplies and ensure smooth daily operations.
  • Support bookkeeping functions such as data entry, invoice tracking, and expense reports.
  • Schedule meetings, manage calendars, and coordinate internal communications.
  • Proofread and format correspondence, reports, and presentations for accuracy.
  • Utilize Microsoft Office, Google Workspace, and company systems for daily administrative needs.
  • Collaborate closely with logistics, warehouse, and administrative teams to streamline workflow.
  • Assist in internal projects and communication efforts.
  • Maintain professionalism, discretion, and confidentiality in all interactions.

Qualifications & Experience

  • Previous experience in administrative or logistics support roles preferred.
  • Technologically literate— must be confident using computers and multiple software platforms.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Ability and willingness to learn specialized company software, including NetYield (seafood ERP system).
  • Strong organizational, multitasking, and time‑management skills.
  • Excellent verbal and written communication skills.
  • Must speak fluent English; Spanish proficiency strongly preferred; French is a plus.
  • Professional, dependable, and detail-oriented, with strong problem-solving skills.
  • Able to thrive in a fast-paced office and logistics environment.
