You’re experienced in office management and ready to be the operational backbone for a growing residential/light‑commercial solar company. Ag Energy is a locally owned solar company based in Manteno, IL, helping homeowners, farms, and small businesses cut energy costs and gain energy independence. We design, sell, and deliver high‑quality PV systems with a commitment to craftsmanship, transparency, and an exceptional customer experience across Kankakee County and surrounding markets. Objectives

Manage day‑to‑day office operations for a productive, professional work environment. Own the permitting & interconnection workflow (AHJs, utility portals, and incentive submissions) to minimize cycle times. Provide end‑to‑end HR support, including benefits, onboarding, and compliance. Oversee accounting tasks: billing, collections, expense tracking, and vendor management. Administer CRM and project systems to ensure data accuracy, reporting, and adoption. Support sales operations by managing proposals, contracts, and pipeline hygiene. Create clarity and accountability via KPI tracking, dashboards, and exec reporting. Serve as a cross‑functional connector between HR, finance, sales, design, and field ops. Competencies

3–5 years in office management, operations, or HR/admin; construction/solar/EPC experience preferred. Working knowledge of HR processes, payroll support, and employment compliance. General understanding of accounting principles (AR/AP), billing, and collections. Familiarity with CRM (Go High Level, or comparable tool - HubSpot/Salesforce, Asana/ClickUp). Bonus: Exposure to solar tools/portals (e.g., Aurora/Solo, utility interconnection portals, Illinois Shines/REC portals). We will train on this. Excellent communication, organization, and time‑management; calm under pressure. Tech‑savvy with Microsoft Office and basic finance software (QuickBooks Online). Key Responsibilities

Permitting, Interconnection & Incentives

Prepare, submit, and track permit packages; coordinate corrections to approval. Submit and manage utility interconnection applications and net‑metering forms; coordinate PTO (Permission to Operate). Keep an active log of each project’s status, dependencies, and deadlines; communicate updates to sales, design, and customers. Accounting & Purchasing

Manage accounts receivable: invoicing, deposits, progress draws, and collections. Process AP/vendor bills; reconcile statements; track lien waivers and W‑9s. Track expenses and company spending; prepare monthly reports for leadership. Coordinate equipment purchasing (modules, inverters, racking); monitor inventory on hand vs. install schedule. Human Resources & Payroll Support

Administer benefits (health, dental/vision, Simple/401k), enrollments, renewals, and employee inquiries. Support payroll preparation, onboarding, I‑9s/e‑Verify, and personnel files. (QuickBooks) Maintain policy compliance (handbook, OSHA training tracking, safety meeting logs); coordinate certificates of insurance. Maintain CRM data accuracy (leads, accounts, contacts, stages); coach user adoption. Process new leads, schedule site surveys, and manage proposal/contract packages. Ensure financing documents and required disclosures are complete and stored properly. Coordinate client meetings, follow‑ups, and post‑install documentation delivery. Data, Reporting & Systems

Build and maintain KPI dashboards: sales pipeline, cycle times (permit/interconnection), install backlog, AR aging, and NPS/CSAT. Monitor time tracking for accurate project costing; support job cost reviews. Maintain system documentation, licenses, subscriptions, and user access. General Office & Fleet Operations

Office scheduling, vendor coordination, mail/shipping, and supply management. Support field ops with fleet/asset records (registrations, maintenance reminders) and safety documentation. Provide executive administrative support and handle special projects as assigned. Seniority level
