Job Description Job Description Title: Club Manager, Cambridge Boat Club Hours: Year-round full-time position, expected to average 35 hours/week with potential for more or fewer hours during different seasons of the year, Position Summary: The Club Manager reports to the Club President or his/her designee and collaborates with various committee chairs, coaches, staff, and officers in the execution of the Club's activities. On-site presence is required for at least four days per week, and on occasion on a weekend day as events or meetings may require. An office is provided. The Club Manager is welcome and encouraged to attend club social events (unpaid unless it is required in an employment capacity). Requirements: A High School Diploma or equivalent required, a College degree preferred. A minimum of 3 years administrative work experience is desired. Experience working in a volunteer led organization preferred. Superb organizational and administrative skills and demonstrated ability to manage complex schedules and timelines flawlessly; experience managing operations for small organizations. Strong computer skills including Excel and Word required, strong office technology competence. Excellent written and interpersonal communication skills. Experience in marketing or customer service roles. Attributes: Outgoing, and positive, along with curiosity and good listening skills; a natural connector of people and ideas. Ability to set and follow priorities and to get things done, working both independently and in collaboration with others. Strong personal judgement, combined with an ability to take direction in a complex, volunteer-led organization. Confident and effective in engaging with a wide variety of people, including members of all ages, event planners, caterers, contractors, coaches, and volunteer club leadership. Enthusiasm for participating in the life of the club; interest in membership a plus. Primary Responsibilities: 1. Clubhouse Calendar, Rentals and Reservations: Maintain the club's master calendar for all rentals, club activities, social events, and meetings, keeping it up to date on the club website Respond to internal and external queries for rentals in a timely manner Promote club rentals through websites, social media and other appropriate channels Develop and maintain relationships with event management companies or other organizations to establish repeat business from reliable customers Track and manage the pipeline of renters and other users from first inquiry to satisfaction survey Execute rental contracts ensuring all elements are complete Document vendors' insurance coverage and city licenses Schedule club monitor, state police detail, piano tuning and other resources as required ? Coordinate rental invoices, payments and refunds with the Bookkeeper ? Hire, train and supervise club monitor(s) ? Provide ad hoc reports as requested 2. Administrative Support of Club Operations Respond to general member requests for assistance; help direct members to resources within the club; work with President to communicate Club Manager-related information to members via the club newsletter and email Maintain (in conjunction with Bookkeeper and Secretary) the Club operations/compliance calendar and execute or assist with the preparation of materials per that calendar (e.g. annual DRC reports, trademark filings) and as requested by Club officers Maintain and manage SafeSport and CORI checks are current for Club Board and program Chairs, and, as needed, SafeSport, CORI/SORI checks for any volunteers working with youth programs at CBC Website Data Management, including: Coordinate with Communications Committee to manage the administrative calendar Ensures website updates support rentals and administrative aspects of club operations Support Secretary in organizing all-Club meetings Manage clubhouse key and parking sticker systems Manage launch and trailer registration Manage the relationships with the contracted cleaning services, and with occasional junk removal to reduce storage requirements Liaise with neighbor BB&N and CBC clubhouse partners HOCR and CRLS on grounds access and projects, and parking matters, coordinating with House Committee and Gardens and Grounds Committee as necessary Ensure the AED is charged and operational, safety signage is posted and the First Aid kits stocked 3. Human Resources/Compliance/Personnel/Finance Manage on-boarding process for new (seasonal) coaches: source CORI reports, administer SafeSport guidelines, enroll in payroll system, provide orientation, etc. Maintain and manage SafeSport and CORI Checks plus all required safety and compliance requirements are current for all employees Process and maintain locked personnel files for all staff Manage updates and implementation of HR policies and handbooks; work with the Board as directed by the President or their designee to conduct annual review of policies and handbooks Support Treasurer and Bookkeeper as needed. Support payroll operations with Bookkeeper Responsible for maintaining the club's files and records, working with the Secretary and other officers 4. Building and operations: Order and maintain inventory of supplies for kitchen, coffee station, locker rooms, cleaning, first aid, and social events in coordination with committee chairs, vendors, and club monitors Coordinate with the House, Gardens & Grounds, and other Committees to provide approved vendors access to the club should the volunteer committee member not be able to attend. Vendor activities, reports and invoices are the Committees' responsibility, but the Club Manager can order and track with their guidance and oversight Support the Sustainability Committee on recycling, trash and waste minimization, to include ordering green supplies, monitoring usage, and helping vendors reduce their footprint at CBC 5.
