GENERAL STATEMENT OF RESPONSIBILITIES:
The Special Projects Coordinator provides efficient and professional administrative, coordination, and programmatic support to the Cape and Islands Area Health Education Center (AHEC), hosted by Cape Cod Community College's Center for Community and Professional Education (CCAPE). This position supports the CCAPE Grant Manager/Cape and Islands AHEC Director in advancing the AHEC's mission to expand access to high-quality healthcare, human services, and healthy lifestyles through academic career training and community partnerships.
The Cape and Islands AHEC is part of the statewide MassAHEC Network at UMass Chan Medical School and the national AHEC Organization (NAO), serving rural and underserved populations through health and human service career education, continuing professional development, and community-based initiatives.
The Special Projects Coordinator assists with the coordination of the AHEC Scholars Program, supports the development and delivery of healthcare and human service career education and training programs, and ensures the smooth operation of administrative functions for all related AHEC activities. The role requires strong organizational, communication, and administrative skills; experience managing multiple priorities; and the ability to collaborate effectively with internal college staff, external partners, and community stakeholders.
This is a part-time position with some flexibility in scheduling of hours; a hybrid work schedule may be considered following onboarding. At least one in-person workday per week is required to support CCAPE and AHEC operations.
EXAMPLES OF DUTIES: Provide comprehensive administrative and programmatic support to the Cape and Islands AHEC Director for all AHEC-related activities, including: (1) Managing communication (email, phone, and in-person) and providing professional assistance to students, instructors, healthcare professionals, and community partners; (2) Assisting with coordination and implementation of the AHEC Scholars Program and related clinical placement activities; (3) Supporting registration and tracking of participants for healthcare and human services training programs offered through CCAPE; (4) Maintaining and updating AHEC program data in systems such as Jenzabar, Salesforce, Trello, SignalVine, CourseStorm, SurveyMonkey and FormAssembly; (5) Preparing and maintaining documentation required for AHEC grant compliance and reporting; (6) Coordinating and preparing materials for meetings, trainings, events, and community outreach activities; (7) Assisting in scheduling and logistical arrangements for classes, orientations, and professional development sessions (both in-person and online); (8) Responsible for all AHEC/Healthcare/Human Service communications including marketing, newsletters, social media updates, and promotional materials; (9) Maintaining accurate records of student participation, clinical placements, evaluations, and continuing education activities; (10) Supporting the AHEC Director in developing agendas, compiling data, and preparing reports for funders and college administration; and (11) Coordinating purchasing, supply tracking, and expense submissions related to AHEC programs. Maintaining confidentiality of all program participant information and ensuring compliance with grant and institutional requirements. Engaging in community and college outreach to support student recruitment, employer engagement, and collaboration with healthcare and human service agencies. Assisting with the administration of grant-funded projects, ensuring deliverables and documentation meet state and federal requirements. Providing evening or weekend coverage as needed for AHEC events, training programs, or outreach activities. Other related duties as assigned.
Requirements:
MINIMUM QUALIFICATIONS :
Bachelor's degree or an equivalent combination of education and experience. Demonstrated related experience in providing administrative and program coordination support. Strong organizational, problem-solving, and time-management skills. Excellent oral and written communication skills. Proficiency in MS Office Suite and virtual meeting tools (Zoom, Teams). Ability to work effectively with a diverse student population and community partners. Demonstrated interpersonal skills and ability to work in a collaborative team environment. Ability to handle confidential information with discretion. Unrestricted authorization to work in the United States. ADDITIONAL PREFERRED QUALIFICATIONS:
Master's degree in public health, education, or a related field. Experience in healthcare, higher education, or workforce development. Familiarity with Salesforce, FormAssembly, or similar data management systems. Experience coordinating grant-funded or community-based programs. Commitment to diversity, equity, inclusion, and serving rural or underserved populations.
