Position Summary

Guggenheim Investments is seeking a Receptionist for our Stamford, CT office.

The position reports into the Head of Administrative & Events Services and is part of a team responsible for the day-to-day administrative support of the Stamford office, and other offices as required. The team is responsible for managing guests, supplies, pantries, vendor invoices, and ad hoc needs of the business. The role will involve communicating with all levels of employees and clients and serves as the gatekeeper for the office.

This role is required to be in office 5 days per week.

Responsibilities

Key Responsibilities
  • Provide administrative and premises support for the Stamford office, and other sites as needed. This includes office supply management, pantry management, backup reception, invoice processing, and facilities maintenance.
  • Order, stock and maintain all pantry snacks, beverages, machines, and storage closets
  • Answer multiple telephone lines for the President and team in the CT office; able to professionally relay appropriate information to callers as directed, route calls to other persons as necessary, and ensure that messages are received and conveyed promptly
  • Oversee internal processes such as conference scheduler, screening all mainline calls, client presentation printing and binding, document storage and shredding, catering requests, the pantry program, mail service, etc
  • Maintain office and copy room supplies including binding supplies and toner
  • Assist with facilities projects, maintenance contracts, and space planning
  • Assist in the response of any facilities related issues like power outages, leaks, HVAC issues, etc
  • Provide backup Reception and phone coverage to the Office of the President
  • Set-up and clean up beverage and catering service in conference rooms
  • Assist with building IDs, guest badges, parking, and registration with building security
  • Coordination and assistance of employee set up with the IT Helpdesk
  • Scheduling, coordination, and supervision of vendor work with the building
  • Print and bind client presentations as needed
  • Maintain office appearance and assist with the upkeep of the space
  • Assist with onsite or offsite Events as assigned
  • Run errands for Office of the President & Senior Executives as requested
Qualifications

Basic Qualifications
  • 1-3 years related experience in a professional corporate setting
  • Office based 5 days per week
  • Proficient with Microsoft Office
Preferred Qualifications
  • Undergraduate degree preferred
  • High level of attention to detail and organization skills
  • Professional written and verbal skills
  • Maintain the highest level of confidentiality
  • Ability to lift and move large deliveries up to 40 pounds
  • Team oriented
  • Willing to take on additional office management projects as needed
  • Able to meet deadlines in a time-sensitive, high-pressure environment
  • Desire to learn and become a strong individual and team contributor with exceptional interpersonal and communication skills


Salary Range

Annual base salary between
$58,500.00-$65,000.00

The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
