Executive Assistant

Robert Half is seeking a highly-skilled and resourceful Executive Assistant to provide high-level administrative support to a senior executive or leadership team within a fast-paced, dynamic organization. The ideal candidate is proactive, detail-oriented, and adept at prioritizing tasks to ensure day-to-day operations run smoothly. Key Responsibilities

  • Manage the executive's calendar, schedule meetings, and coordinate travel arrangements, both domestic and international.
  • Prepare, edit, and organize professional correspondence, reports, presentations, and other communications.
  • Serve as a gatekeeper, handling incoming calls, emails, and meeting requests for the executive.
  • Plan and coordinate events, conferences, and other leadership engagements, ensuring a seamless experience.
  • Handle confidential and time-sensitive information with discretion and professionalism.
  • Conduct research and compile data to support executive decision-making and project planning.
  • Liaise between internal departments and external stakeholders on behalf of the executive.
  • Oversee special projects, ensuring timely completion and adherence to organizational goals.
  • Provide mentoring or guidance to junior administrative staff, as necessary.

Requirements

  • Experience : 5+ years of experience as an administrative or executive assistant supporting senior management.
  • Education : Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Tech Skills : Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with productivity tools like Zoom, Slack, or project management platforms (e.g., Trello, Asana).
  • Communication : Exceptional verbal and written communication skills, including professional correspondence and interpersonal interactions.
  • Organizational Skills : Outstanding time management abilities with a proven track record of successfully managing complex schedules and prioritizing tasks.
  • Problem-Solving : Strategic thinker who can troubleshoot issues and handle situations independently.

Preferred Qualifications

  • Certifications : Certified Administrative Professional (CAP) or Microsoft Office Specialist certifications are a plus.
  • Event Planning : Experience coordinating events or managing logistics for senior-level meetings.
  • Project Support : Experience supporting cross-functional projects or managing workflow automation tools.
