Executive Assistant to the CEO — Financial Firm

📍 Location: Midtown, NYC (On-site, 5 days/week)

🕓 Hours: 8:30 AM – 5:30 PM, with limited weekend connectivity

About the Role

A confidential, high-performing private equity firm is seeking an accomplished Executive Assistant to provide high-level support to the CEO. The ideal candidate is organized, proactive, and thrives in a dynamic, fast-paced environment.

This individual will be responsible for ensuring the CEO’s professional and personal life run efficiently and seamlessly — coordinating complex calendars, travel, and day-to-day logistics across both business and family priorities. The CEO values initiative, strategic thinking, and a collaborative working style. The selected candidate will serve as a trusted partner, providing leverage, insight, and reliability across all facets of the CEO’s world.

Key Responsibilities

  • Provide comprehensive, high-level administrative support to the CEO across business and personal matters (approximately 50% family‑related support for a family of five)
  • Manage and maintain a complex, ever‑evolving calendar and schedule with precision and foresight
  • Coordinate all aspects of domestic travel, ensuring seamless logistics and optimized itineraries
  • Serve as the main point of contact for key internal and external stakeholders
  • Ensure the Pricnipal is fully prepared for meetings, including materials and briefing notes
  • Prepare and reconcile expense reports (Concur)
  • Handle confidential information with discretion and professionalism
  • Assist with ad hoc projects and operational initiatives as needed

Qualifications

  • 2–5 years of relevant Executive or Personal Assistant experience supporting a senior leader
  • Strong communication skills (written and verbal), with the ability to build trust and rapport
  • Exceptional organizational skills and keen attention to detail
  • Ability to anticipate needs, prioritize effectively, and pivot quickly in a dynamic environment
  • Demonstrated discretion and sound judgment in handling sensitive information
  • Proficiency with Microsoft Office Suite and Concur
  • Prior experience supporting a C‑level executive is highly preferred
  • A self‑starter with a team‑oriented mindset and genuine enthusiasm for the EA/PA craft
