Office Assistant 3 Washington State Penitentiary (WSP), Walla Walla, WA

Position Overview • The Department of Corrections is seeking highly motivated and qualified individuals to fill Office Assistant 3 positions at Washington State Penitentiary.

The role is intended to fill future vacancies that may occur.

• Key responsibilities include processing mail, maintaining electronic and manual records, drafting forms and reports, and assisting with payroll, inventory, and scheduling functions in a 24‑hour correctional environment.

Responsibilities

Maintain confidentiality of information protected by DOC Policy, Federal or State Law.

Perform electronic mail tasks and manage incoming and outgoing mail, messages, and records.

Order, receive, and maintain office inventory following established procedures.

Draft routine forms, letters, and reports; proofread material and correct sentence structure, spelling, grammar, and punctuation.

Respond to inquiries regarding rules, regulations, policies, and department procedures.

Answer telephones and receive visitors.

Review documents for completeness, accuracy, and compliance with applicable rules.

Compose office correspondence such as requests for documentation and responses to information requests.

Use spreadsheet and database software to develop, maintain, and report on records.

Perform complex word‑processing tasks, including merging, sorting, and integrating text with graphics.

Use basic statistical software and recommend appropriate data display.

Assist in studies, surveys, and preparation of reports, entering and computing numerical information.

Required Qualifications

High school diploma or equivalent.

Desirable Qualifications

Ability to type a minimum of 40 words per minute.

Intermediate word‑processing and spreadsheet skills.

Two (2) years of clerical experience in an office setting.

Application and Background Applicants must include a minimum of three professional references.

Prior to hire, a background check will be conducted, and a pre‑employment drug test may be required.

Employees may work in close proximity to incarcerated individuals in a potentially hazardous setting; candidates should be comfortable with those conditions.
