Office support professional who performs a wide variety of complex and highly responsible administrative functions to support day-to-day operations, programs, and procedures within the assigned area. Organizes and coordinates the workflow and office support functions to relieve the administrator of routine administrative details not requiring immediate attention. Direct, oversee, and review the work of student assistants and other classified support staff as applicable. Use initiative, organization, problem solving, and independent judgment in processing work within the assigned area. Prepare correspondence, memoranda, reports, center and advisory committee minutes, and other materials. Participate in and/or coordinate data collection, checking, compiling, and recording of information. Prepare and proofread a wide variety of materials and documents, including interoffice communications, requisitions, forms, letters, reports, statistics, curriculum projects, classroom and instructional assignments, and specifications from rough draft or verbal instructions. Assist in preparing area budget including monitoring grants and maintaining detailed records; keep records of expenditures and running balances. Serve as information source regarding area policies and procedures; respond to inquiries and refer matters to proper staff as appropriate. Arrange and schedule appointments and meetings, notify participants, confirm date and time, reserve meeting sites, and prepare materials. Assist with development of class schedules and catalog information related to area activities and services in collaboration with instructors, dean, and instructional services. Handle and process incoming money and receipts for special projects; maintain confidentiality of information. Maintain accurate and detailed calendars of events, due dates, and schedules for the assigned area. Review and verify documents, records, and forms for accuracy, completeness, and compliance with applicable rules and procedures. Sort and distribute mail; respond to correspondence as directed. Develop or assist in developing office operating procedures, forms, worksheets, and record-keeping systems. Make travel arrangements. Direct, train, and monitor student assistants; train and oversee the work of others in a lead capacity. Participate in campus committees and events. Perform other related duties similar in scope and function as assigned. Knowledge

Microsoft Office Suite. Use of apps on District issued computer. Interpersonal skills using tact, patience, and courtesy. Proper office methods, techniques, and procedures including filing systems, business correspondence, receptionist techniques, report writing, and telephone techniques. Basic accounting principles and requirements. Correct English usage including grammar, punctuation, vocabulary, and spelling. Ability

Compile and maintain the security of confidential information. Learn the operations, procedures, policies, and requirements of the assigned area and apply them with good judgment. Understand and carry out a variety of oral and written instructions independently. Prioritize, direct, and coordinate workflow within the assigned area. Learn and utilize a variety of computer software as assigned. Type accurately at a rate appropriate for job performance. Establish and maintain records and filing systems, including accounting records. Work independently with minimum supervision. Prioritize and schedule workload to meet deadlines. Operate standard office equipment (computer, printer, calculator, copier, etc.). Communicate effectively in both oral and written forms. Supervise and train student workers and others as assigned. Establish and maintain effective work relationships with colleagues and staff. Experience/Education

Education: Associate degree or equivalent education and experience. Experience: Two years of progressively responsible administrative professional experience or equivalent; demonstrated sensitivity to diverse backgrounds of staff and students and to individuals with disabilities. Experience Preferred: Knowledge of or experience in an educational institution, or comparable setting, and/or equivalent. Additional Information
