Description We are looking for an experienced and proactive Executive Assistant to provide high-level administrative support to our executive team. This Contract-to-Permanent position is based in Dallas, Texas, and requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with discretion. The ideal candidate will excel in a fast-paced environment, ensuring smooth office operations while maintaining confidentiality. Responsibilities:
- Manage complex calendars for executives, including scheduling appointments and coordinating meetings.
- Organize and book travel arrangements, including itineraries, accommodations, and transportation.
- Prepare and edit detailed documents, such as reports, presentations, and correspondence.
- Support board meetings by coordinating agendas, preparing materials, and following up on action items.
- Oversee daily office operations, including supplies management, vendor coordination, and workspace organization.
- Act as the primary point of contact for IT, Facilities, HR, and service providers.
- Assist with employee onboarding and offboarding processes, ensuring smooth transitions.
- Plan and manage office events and meetings, including catering, setup, and travel arrangements for attendees.
- Run errands and provide transportation for executives or board members as needed.
- Track deadlines, priorities, and tasks to ensure timely completion of executive objectives. Requirements - Proven experience in an executive assistant or similar administrative role.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Strong organizational and time-management skills with the ability to prioritize effectively.
- Exceptional written and verbal communication skills, including editing and proofreading.
- Ability to handle sensitive and confidential information with professionalism.
- Experience managing travel arrangements and expense reporting systems such as Concur or Expensify.
- Strong interpersonal skills with the ability to build relationships across various levels of the organization.
