Position Overview
The State of Connecticut Department of Transportation (CTDOT) is seeking a Transportation Supervisor’s Assistant to support daily operations of a DOT Maintenance/Repair facility. The role ensures public safety and operational efficiency.
Position Details
Full‑time, 40 hours/week, Monday‑Friday 7:30 AM – 4:00 PM
Location: Old Saybrook Maintenance Facility, 660 Middlesex Turnpike, Old Saybrook, CT
Must live within 20 miles of the job location
Responsibilities
Monitor and dispatch personnel for emergency situations and public complaints
Prepare and type reports, meeting minutes, purchase orders, requisitions, and invoices
Enter payroll data using the State’s Core‑CT system
Maintain accurate records for Federal, State, and FEMA projects
Order and track inventory and supplies
Record vehicle and equipment mileage and usage in STARS
Respond to public and municipal inquiries regarding roadway or traffic issues
Perform facility‑related tasks such as fuel tank checks, meter readings, snow removal, and general cleaning
Use Microsoft Word, Excel, Outlook, Core‑CT, and STARS extensively
Prioritize multiple tasks in a fast‑paced, emergency‑driven environment
Maintain professionalism and effective communication with the public and internal teams
Qualifications
One (1) year of general clerical work experience or equivalent maintenance support experience
Experience performing a variety of clerical tasks including typing, editing documents, and data entry
Proficiency with Microsoft Office suite (Word, Excel, PowerPoint)
Experience with payroll input and processing
Strong organizational and priority‑setting skills; ability to meet time‑sensitive deadlines
Excellent interpersonal, verbal, and written communication skills
Ability to work independently and as part of a team
Willingness to perform emergency duties, including snow and ice removal whenever required
Physical ability to lift moderate weights and navigate outdoor facilities
Working Conditions
Exposure to extreme weather conditions and loud machinery
Occasional lifting of moderate weights and outdoor facility maintenance
