About Our Client Addison Group is hiring on behalf of our client, a well-established law firm in downtown Chicago, to support their litigation team. The firm values collaboration, professionalism, and attention to detail, with a close-knit administrative team.
Job Description Our client is seeking an experienced Litigation Legal Secretary to provide administrative and clerical support to multiple attorneys and paralegals. This role requires a high level of organization, adaptability, and discretion. The ideal candidate will thrive in a fast‑paced environment, be confident in managing multiple priorities, and demonstrate strong technical skills.
Key Responsibilities
Prepare, edit, and proofread legal documents, correspondence, memos, and pleadings
Assist with electronic filing for federal and state courts; provide backup support to docketing staff when needed
Maintain attorney calendars, track deadlines, and manage scheduling for meetings and appointments
Manage incoming and outgoing communications, including phone calls, emails, and mail
Support attorneys and paralegals with document management, filing systems, and organization of client/matter files
Handle billing entries, time tracking, and expense reimbursements using relevant software
Coordinate travel arrangements and related logistics for attorneys
Provide backup coverage for other secretaries as needed; collaborate closely with the administrative team
Perform miscellaneous tasks to support legal staff as requested
Qualifications
5–7 years of experience as a Legal Secretary in a litigation-focused law firm
Strong time management, multitasking, and organizational skills; ability to support multiple attorneys and cover for teammates
Adaptable to varying work styles of attorneys
Proficient in Microsoft Office Suite (Word, Excel, Outlook), including advanced Word features (tables, mail merge, styles, indexes, tables of contents)
Experience with document management systems (iManage preferred) and billing software (Aderant or LaurelAI preferred)
Knowledge of court filing procedures (PACER/ECF) and legal research tools (Westlaw a plus)
Excellent proofreading skills and attention to detail
Professional demeanor with strong communication and interpersonal skills
Tech-savvy, confident, collaborative, and capable of working independently
