Job Description
Our client is seeking an experienced Litigation Legal Secretary to provide administrative and clerical support to multiple attorneys and paralegals. This role requires a high level of organization, adaptability, and discretion. The ideal candidate will thrive in a fast‑paced environment, be confident in managing multiple priorities, and demonstrate strong technical skills.
Key Responsibilities
- Prepare, edit, and proofread legal documents, correspondence, memos, and pleadings
- Assist with electronic filing for federal and state courts; provide backup support to docketing staff when needed
- Maintain attorney calendars, track deadlines, and manage scheduling for meetings and appointments
- Manage incoming and outgoing communications, including phone calls, emails, and mail
- Support attorneys and paralegals with document management, filing systems, and organization of client/matter files
- Handle billing entries, time tracking, and expense reimbursements using relevant software
- Coordinate travel arrangements and related logistics for attorneys
- Provide backup coverage for other secretaries as needed; collaborate closely with the administrative team
- Perform miscellaneous tasks to support legal staff as requested
Qualifications
- 5–7 years of experience as a Legal Secretary in a litigation-focused law firm
- Strong time management, multitasking, and organizational skills; ability to support multiple attorneys and cover for teammates
- Adaptable to varying work styles of attorneys
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), including advanced Word features (tables, mail merge, styles, indexes, tables of contents)
- Experience with document management systems (iManage preferred) and billing software (Aderant or LaurelAI preferred)
- Knowledge of court filing procedures (PACER/ECF) and legal research tools (Westlaw a plus)
- Excellent proofreading skills and attention to detail
- Professional demeanor with strong communication and interpersonal skills
- Tech-savvy, confident, collaborative, and capable of working independently
