Location:
On-Site in Arbuckle, CA through late 2025, after which it will transition to Sacramento, CA in early 2026
Position Summary:
The Customer Service Representative supports order management and customer service activities across the Retail, Food Service, and E-Commerce business segments within the oil and grain industry. This role ensures timely, accurate, and professional handling of customer orders, inquiries, and issues while maintaining strong cross-functional coordination with logistics, sales, and production teams. The Customer Service Representative is a key point of contact for customers, providing world-class service that strengthens relationships and supports company growth.
Key Responsibilities: Process and manage customer orders for retail, food service, and e-commerce accounts with accuracy and efficiency. Serve as the primary contact for customer inquiries, providing timely responses and professional communication. Coordinate with logistics, production, and sales teams to ensure on-time delivery and order fulfillment. Maintain detailed knowledge of product specifications, pricing, and delivery timelines. Monitor and track shipments, proactively addressing delays or discrepancies. Support resolution of customer issues, complaints, and credit/debit adjustments in collaboration with management. Generate and analyze order, shipment, and service level reports to identify trends and recommend improvements. Communicate upcoming promotions, discounts, and seasonal campaigns to customers in a clear and timely manner. Ensure compliance with company policies and applicable regulations (e.g., FSMA, SQF, FSIS). Update and maintain accurate records in ERP (e.g., Microsoft NAV) and CRM systems. Assist with EDI transactions and order management processes, including invoicing and shipment confirmations. Provide administrative and project support for initiatives such as product launches, packaging updates, and new customer onboarding. Collaborate with finance and sales teams on billing accuracy, account status, and other customer-related matters. Qualifications
Required Qualifications:
Education and Experience
Associate's or Bachelor's degree in Business Administration, Supply Chain, Agriculture, or a related field preferred. 2-4 years of customer service or order management experience, within the food, agriculture, or CPG industries. Experience supporting retail and food service customers (e.g., Costco, Walmart, Sysco) and/or e-commerce platforms (e.g., Amazon). Familiarity with ERP systems (e.g., Microsoft NAV) and EDI processes for order management. Proficiency in Microsoft Office Suite and CRM tools. Skills and Competencies:
Strong customer service and communication skills, both written and verbal. High attention to detail and accuracy in data entry and order management. Ability to multitask and prioritize in a fast-paced, high-volume environment. Collaborative mindset with strong teamwork and problem-solving abilities. Customer-focused attitude with professionalism and accountability. Adaptable and self-motivated in dynamic business conditions. Preferred Qualifications:
Bachelor's degree in Business, Supply Chain, or related field. Experience with international orders and trade documentation. Bilingual in English and Spanish Working Conditions:
Office-based environment. Willingness to travel (up to 5%) to company facilities or customer sites. May require occasional work outside standard business hours during critical order or production periods.
