Overview
A highly regarded recruiting firm in the financial services space is seeking an Executive Assistant to the CEO and Operations Specialist.
This is a hands-on role for a sharp, organized, and proactive professional who thrives in a fast-moving environment. You’ll work closely with the firm’s Founder & CEO and a small, collaborative team, supporting both professional and select personal matters while helping keep projects, communications, and operations running smoothly.
Highlights
- Partner directly with the CEO to manage calendars, priorities, projects, and follow-ups
- Contribute ideas, anticipate needs, and help improve structure and efficiency in a dynamic setting
- Coordinate meetings, calls, and correspondence, preparing agendas and drafting professional follow-ups
- Assist with travel logistics, vendor coordination, and occasional personal support
- Collaborate with operations leadership to streamline internal systems and maintain data accuracy
- Maintain CRM (HubSpot) data, lists, and spreadsheets to track recruiting and business development activity
- Competitive compensation package ($90,000 - $100,000 base plus bonuses ranging from $5,000 - $25,000, and excellent benefits)
Requirements
- 4+ years of experience in an Executive Assistant or Operations role
- Exceptional organization, multitasking, and communication skills
- High comfort level with technology, spreadsheets, and process tracking
- Experience in financial services or recruiting environments is a plus
