Overview The Unit Research Administrator position provides various levels of fiscal and administrative support to College of Arts and Sciences (CAS) Departments, potentially supporting units in the School of Natural Sciences & Mathematics (SNSM), the School of Social Sciences (SSS), the School of Humanities (SHUM), or Centers and Institutes. The role acts as the primary contact between Principal Investigators and Sponsored Research for identification, development, review, submission and administration of grants and contracts. It includes preparing budget projections, developing materials for compliance analysis, and advising researchers on proposal reviews. Knowledge of federal sponsor guidelines (NSF, NIH, NEH, etc.), OMB Uniform Guidance, and private sponsor guidelines is required, along with interpreting and applying Federal, State, and University policies throughout the proposal and contract process. After awards, the position guides researchers on administrative steps such as setting up accounts, reconciling projects, reviewing invoices and financial reports, processing transfers with justification, and reviewing final reconciliations.

Responsibilities

Proposal Development and Pre-Award: work with faculty to develop proposals, ensure compliance with sponsor/university regulations and processes, provide technical assistance for grant proposals, aid in submitting proposals, and assist in budgeting, including direct/indirect costs, cost share, and program income.

Post-Award Management: oversee post-award activities, set up and manage awards, handle sub-recipient agreements, process financial transactions, monitor payroll distribution and cost transfers, coordinate hiring documents and grant-paid tuition processing, monitor effort reporting, track cost sharing, obtain sponsor approvals for non-budgeted changes, prepare monthly ledgers and closeouts, and prepare for audits and post-project requests.

Ongoing training and collaboration: participate in trainings, meetings, and workshops to stay current on grant policies; collaborate with research personnel and represent the college/department on committees.

Qualifications

MINIMUM: Bachelor's degree and 1 year of professional administrative experience; or a Master's degree. Progressively responsible related experience may substitute on a year-for-year basis.

FLSB1310 Equivalency: up to 4 years of directly relevant experience may substitute for a bachelor’s degree; up to 6 years may substitute for a master's degree.

Preferred: Bachelor's Degree in Business Administration/Accounting/Finance or related field; 1 year of grant research or grant research administration experience; knowledge of USF business systems and policies.

Degree Equivalency Clause: Four years of direct experience may substitute for a bachelor’s degree.

Regulatory/Legal: Florida Senate SB 1310-related substitutions may apply; minimum qualifications may be exempt in some cases.
