There are 28 departments and 27 centers and institutes within the College of Arts and Sciences, comprising approximately 700+ faculty members and 200 staff, plus many OPS and student employees.

CAS Office of Research and Scholarship (CAS‑ORS) CAS‑ORS provides support for the development of research proposals and fellowships by assisting researchers in identifying funding sources, designing and facilitating proposal development workshops, and providing strategic tools and resources. It performs comprehensive proposal narrative reviews, offers internal awards, and provides solid research infrastructure. In addition to pre‑award and post‑award grant support, CAS‑ORS promotes the research and scholarship success of our faculty, enhancing visibility within the university and to our community stakeholders and peers.

POSITION SUMMARY The Unit Research Administrator provides fiscal and administrative support to CAS departments. This position may support departments housed in the School of Natural Sciences & Mathematics, the School of Social Sciences, the School of Humanities, or Centers and Institutes. It acts as a primary contact between Principal Investigators and Sponsored Research, handling identification, development, review, submission, and subsequent administration of grants and contracts. The role supports researchers by preparing budget projections, developing compliance materials, and advising on proposal reviews. It requires knowledge of federal sponsor agency guidelines (NSF, NIH, NEH, etc.), OMB Uniform Guidance, and private sponsor guidelines, as well as application of federal, state, and university policies throughout the proposal and contract process. After awards are made, the position provides guidance on account setup, reconciliation, invoice approval, financial reporting, expenditure transfers, and final project reconciliation.

ANNUAL SALARY $60,000

MINIMUM QUALIFICATIONS This position requires a Bachelor's degree and 1 year of professional administrative experience; or a Master's degree. Progressively responsible related experience may substitute for the required education on a year‑for‑year basis.

FLSB1310 Equivalency 4 years of directly relevant experience may be substituted for a bachelor's degree.

6 years of directly relevant experience may be substituted for a master's degree.

PREFERRED QUALIFICATIONS Bachelor's Degree in Business Administration/Accounting/Finance, or closely related field. 1 year of grant research or grant research administration experience, and knowledge of USF business systems and policies.

RESPONSIBILITIES

Provide pre‑award support to faculty, including proposal development, budget preparation, compliance analysis, and internal award coordination.

Assist in critical review, writing, and editing of research proposals.

Calculate budgets and ensure inclusion of all appropriate and required elements (direct and indirect costs, cost share, program income, etc.).

Provide technical assistance to facilitate the development of grant proposals and assist faculty with submission to various agencies.

Support post‑award management: oversee Principal Investigators, project staff, and CAS administration; manage award setup and sub‑recipient agreements; process all financial transactions, payroll distribution, and cost transfers.

Coordinate with department staff on hiring documents, tuition payments, effort reporting, and cost‑sharing/matching documentation.

Assist with sponsor approvals for non‑budgeted financial transactions or changes; prepare monthly ledgers, reconciliation reports, and annual award financial closeouts.

Assist with audit responses and post‑project requests.

Attend ongoing trainings, meetings, and workshops to stay current on grant policies and procedures.

Collaborate with other research personnel for best practices, represent the college and/or department on committees, and communicate pertinent information to departments.
