Job Description

Provide MTC senior management with high quality administrative staff support. Supervise MTC administrative staff to achieve highest standards of quality. Manage performance, professionalism, and services provided by the administrative staff, continually increasing their efficiency and effectiveness. Coordinate all office administrative functions, MTC events, operational committees, and related services as required. Train administrative staff to ensure they possess the required skills, knowledge, and attitude to perform their assigned work. Disseminate information to help implement management strategy and policy decisions efficiently, accurately, and quickly.

Responsibilities

Provide senior level administrative support to Provo MTC Manager of Operations. Anticipates need and support project work, budget management, perform research, and compile complex data and information. Manage correspondence received by Provo MTC Manager of Operations and manage their schedule. Supervise administrative staff by means of management model, assigning and monitoring workload, holding staff meetings, one-on-one meetings with staff members, performing regular performance evaluations, preparing training plans, and participating in disciplinary actions. Coordinate projects and logistical needs, event planning, and operational committees. Prepare/edit presentations and documents. Train by developing, presenting, implementing processes and policies for administrative staff. Other duties as assigned.

Qualifications

Required:

• Bachelor's Degree

• 4 years administrative or related experience

• Comprehensive administrative support working knowledge

Key Skills include the ability to:

• Experience setting priorities and supervising other people. Experience with performance management and team building.

• Communicate professionally in writing and verbally.

• Utilize Microsoft Office and other software at an advanced level to schedule appointments, create and perform analysis on spreadsheets, prepare presentations, take notes and minutes, and create and update word documents.

• Provide advanced research, analytical, and data summation support.

• Proactively anticipate needs and think strategically.

• Take standard processes and procedures and adapt to address complex problems and find less obvious solutions.

• Problem solve and resolve complex conflict and problems through sound decision making.

• Organize and prioritize work and needs.

• Coordinate projects and events effectively.

• Operate and maintain standard office equipment.

• Interact and work with others in a productive and professional way.

• Work with discretion, confidentiality, and integrity.

• Train, mentor, and lead the work of others.

• To successfully perform the essential functions of the job there may be physical requirements which need to be met such as sitting for long periods of time, moving about the office to deliver mail and other items, and using computer monitors/equipment.

Preferred:

• Broad knowledge of the organization's structure, functions, and key personnel
