Job Summary The Payroll Specialist will be responsible for accurately processing multi‑state, biweekly employee payroll data and serving as the point of contact for all payroll‑related inquiries. The role will work closely with HR and Finance to process payroll, resolve discrepancies, and ensure compliance with federal, state, and local laws. The ideal candidate has a strong understanding of accounting and payroll systems, payroll regulations, tax requirements, and employee benefits.
Key Responsibilities
Administer and process biweekly, multi‑state payroll
Review timesheets for completeness and accuracy prior to payroll processing, including hours worked, overtime conversion, and manager approvals
Address employee payroll inquiries, resolve discrepancies, and, when necessary, elevate to the proper parties
Maintain and reconcile employee benefit and garnishment deductions
Regularly audit payroll records to ensure continued accuracy
Register, file, and pay multi‑state withholding taxes and state unemployment
Ensure timely and accurate submission of payroll taxes, garnishments and other deductions
Generate various reports for management (headcount, overtime, insurance requirements) and support audits
Stay up to date on federal, state and local payroll laws and regulations
Ensure confidentiality of payroll information
Qualifications and Experience
Experience with payroll and accounting software (Paychex or Workday a plus)
Knowledge of federal, state and local tax regulation and payroll laws
Strong analytical and problem‑solving skills
Good communication skills, both verbal and written
Proficient in Microsoft Office Suite, specifically Excel
Education / Certifications
Minimum of 3–5 years in payroll processing required
Associate or Bachelor’s degree in accounting or a related financial field preferred
Certified Payroll Professional (CPP) or similar certification a plus
Travel Requirements
No travel required
Physical Requirements
Sedentary work; exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, and pulling objects. Sitting most of the time, with walking and standing required only occasionally.
