Financial Management and Reporting
- Manage day-to-day accounting operations, including general ledger maintenance, reconciliations, and month-end/year-end closings.
- Prepare, review, and analyze financial statements in compliance with GAAP and nonprofit fund accounting principles.
- Maintain and update the chart of accounts, ensuring proper coding for client contracts, workforce programs, and funding sources.
- Assist in the preparation of annual budgets and financial forecasts.
- Provide accurate financial reports to leadership, program managers, and the Board of Directors.
Payroll and Staffing Operations
- Oversee payroll processing for both internal staff and placed temporary employees.
- Ensure accurate recording of wages, benefits, and taxes in alignment with client billing and funding requirements.
- Collaborate with HR and Operations to reconcile timekeeping, payroll, and job placement data.
Billing and Accounts Receivable
- Supervise client invoicing, ensuring timely and accurate billing for staffing services.
- Monitor accounts receivable and follow up on outstanding balances.
- Coordinate with program managers to align invoicing with contract terms and grant funding allocations.
Accounts Payable and Expense Management
- Review and approve vendor invoices, reimbursements, and other disbursements.
- Maintain accurate records of payments and expense allocations.
- Ensure adherence to internal financial controls and spending policies.
Grant and Fund Accounting
- Track revenues and expenses for grant-funded workforce development programs.
- Prepare financial reports and invoices for grantors, ensuring compliance with funding requirements.
- Work closely with program and development teams to manage budgets for restricted funds.
Audit and Compliance
- Lead preparation for annual audits and liaise with external auditors.
- Ensure compliance with federal, state, and local financial regulations, including nonprofit and employment laws.
- Maintain and strengthen internal controls and accounting policies.
Leadership and Collaboration
- Supervise and mentor accounting staff, providing training and professional development.
- Partner with program and business development teams to support financial planning for staffing and training programs.
- Contribute to strategic initiatives aimed at financial sustainability and operational excellence.
Qualifications
- Education: Bachelor's degree in Accounting, Finance
- Experience: 5+ years of progressive accounting experience, including 2+ years in a supervisory or management role. Experience in staffing, workforce development, or nonprofit environments strongly preferred.
- Technical Skills:
- Proficiency with accounting and payroll systems QuickBooks
- Advanced Excel skills and familiarity with fund accounting and grant reporting.
- Strong understanding of GAAP and nonprofit accounting principles.
- Experience managing both payroll and client billing cycles.
- Excellent analytical, organizational, and communication skills.
