Job Description
Position Summary: Provide administrative support in order to ensure overall efficiency, effectiveness and superior customer service with internal and external clients and vendors.
This position is not eligible for Visa Sponsorship.
Responsibilities
- Assist facility customers in person and via phone or email regarding parking, facility, shipping and receiving as well as directing customers to staff members or course locations. Ensure learners sign in on the daily log and visitors sign in appropriately. Notifies appropriate parties to announce learners or guests and ensure learners or guests are escorted into the appropriate area.
- Assists with maintaining security badge access controls; schedules security door access.
- Ensures USF HPCC daily mail is opened, sorted and distributed according to USF HPCC policy and procedures. Receives, sorts and records a variety of supplies, equipment or other items being delivered for internal and external clients. Assists shipping and receiving with documentation and compares incoming shipments against bill of lading or invoices. Follows through and ensures delivery of appropriate signed documentation and goods to appropriate departments or individuals.
- Develop and implement daily electronic signage for programs happening throughout the building using USF Health IT software. Assists as requested in the preparation of meetings, registration, conference calls, courses or conferences.
- Performs other administrative assistance and special projects in support of the mission and strategy of the department.
- Other duties as assigned.
Qualifications
Minimum Qualifications: This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post‑secondary coursework may substitute for the experience requirement on a year for year basis. Testing may be required to assess competency on word processing software.
Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
Required
- (a) Two years of direct experience for an associate degree;
- (b) Four years of direct experience for a bachelor’s degree;
- (c) Six years of direct experience for a master’s degree;
- (d) Seven years of direct experience for a professional degree; or
- (e) Nine years of direct experience for a doctoral degree
Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
Minimum Qualifications that require a high school diploma are exempt from SB 1310.
Preferred Qualifications
Computer skills, Microsoft Office; CME Tracker registration software, Knowledge of basic computer troubleshooting and proficient using a high‑capacity copier, scanner and fax machine. Excellent verbal and written communication skills. Ability to multi‑task in a busy office setting.
