SUMMARY The Operational Intelligence Center is a sophisticated command type center focused on customer service to retail centers across North America. This position is responsible for overseeing all aspects of center projects, including the coordination and completion of projects on-time within various budgets and scopes. The Senior Project Manager will lead coordination of multiple often complex technical projects, communicate with internal and external stakeholders, set deadlines, define project strategy, manage budgets, and delegate tasks in order to complete the project ahead of or on schedule. The Senior Project Manager’s duties include navigating the complex world of project delivery, coordinating resources, managing risks, and ensuring successful outcomes, setting deadlines, providing feedback and communicating with clients, vendors and OIC/Simon Executive staff about the status of the projects. The Senior Project Manager must be able to understand and troubleshoot all project technology solutions, commit to memorizing several standard operating procedures and company policies, host project meetings at least once a week, take notes to include capturing due‑outs, follow up on due‑outs and hold the vendors/team accountable to ensure project timelines are met. The Senior Project Manager will assess data manipulation and technology sophistication, with the ability to be a subject‑matter expert regarding new/existing systems or technology processes. This position must provide continuous critical thinking, proactive problem solving, and key communication.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Oversee the project timeline for all relevant OIC technology projects; both assigned and proactive. Be responsible for ensuring that the project schedule is maintained according to the project’s contractual deliverables and their due dates.
Serve as the host for all vendor project status calls, keeping projects on task.
Act as the accountability manager for project progression. Track the project due‑outs (from all stakeholders) between deliverable completion dates, to ensure the project is on task. Flag any projects that are falling behind projected timeline and develop actionable solutions for addressing challenges.
Become a subject‑matter expert on all OIC technology; identify technology gaps in center standards, goals are held to design/suggest and implement solutions to address shortcomings/gaps.
Help maintain financial overview to ensure a project stays within its unique Statement of Work (SOW).
Maintain detailed notes from meetings for internal/external use to include due‑outs and follow‑up items from stakeholders.
Facilitate the completion of a project by coordinating the activities of an entire team until projects’ completion.
Develop project plans that identify resources and budgetary needs to take the project to completion.
Host project meetings at least once a week, as needed, with team and managers to accomplish deadlines. Hold parties responsible for completing due‑outs in a timely manner, follow up to ensure tasks were completed and communicate open items to the team for accountability.
Provide feedback, advice, project updates as needed to client, OIC leadership and partners.
Manage deadlines and push the team to ensure timeliness of deliverables.
Coordinate and or execute testing of project deliverables to ensure they are meeting Simon standards and functioning as intended.
Provide critical feedback on all testing and demonstrations to include an end‑user’s perspective (UX/UI).
Coordinate with vendors, suppliers, Simon, AUS, etc. as needed.
Coordinate and build professional relationships with Simon’s Human Resources (HR), Financial/Billing, and Recruiting Departments to provide necessary documentation in support of center operations.
Maintain strict confidentiality of operations, personnel, and management information.
Assist with any/all center visitors, to include coordination and execution of any/all client or center events.
Proactively monitor and recommend center optimizations related to the overall center’s strategic mission goals/objectives.
Daily identify and communicate all critical items requiring the attention of OIC executive management.
Maintain effective and forthright communication with executive management and complete reports as needed.
Serve as the OIC recruiting and retention liaison. Qualify candidates for the Specialist/Intel analyst positions, coordinate interviews and next steps with HR and Recruiting.
Lead New Employee Orientation at the OIC for all center positions, including completing all required new hire paperwork such as I‑9 verification, etc.
Facilitate retention activities such as birthday recognition, staff appreciation meals, etc.
Manage and document certain OIC office spending/supply ordering and vendor management (e.g., janitorial services, obtaining repair quotes, etc.) and prepare timely reports for review by OIC executive management as needed.
Effectively organize, multi‑task, and prioritize tasks to adapt to constantly changing situations.
Help maintain data integrity and data repositories and data collection through surveys, etc.

Formal Education, Licenses, Investigation, and Certifications Required
Bachelor’s Degree in Organizational Leadership, Business Management, Information Technology, or similar technical field of study is preferred. Industry specific work experience in lieu of degree is acceptable.
PMP (Project Management Professional) certification is strongly recommended.
Type and Length of Specific Experience Required
A minimum of 5 years’ previous project management experience is preferred.
Knowledge and Skills Required
Ability to prioritize workload based on urgency, ability to delegate tasks, and communicate to a range of audiences including executive management.
Demonstrable analytic and critical thinking skills.
Prior office, management, or financial experience in a private sector environment is desired.
Leadership knowledge, experience, and application in a previous project management position is required.
Must demonstrate excellent computer skills with the ability to master several custom applications.
Flexibility to work all shifts and willingness to help address various taskings when needed.
Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.
Strong MS Suite of service skills required (MS Teams, Word, PowerPoint, Excel, and Power BI preferred).
Must be able to type a minimum of 40 words per minute.
Must be able to organize and prioritize tasks.
Must be able to effectively multi‑task.
Ability to quickly recall and record essential details.
Able to adapt to constantly changing situations.
