Project Staff Accountant – Loan Draws & Payments

Position Summary We are seeking a detail-oriented and proactive Project Staff Accountant to manage financial operations related to loan draws, payments, and project accounting. This role is critical to ensuring accurate tracking of project funding, compliance with lender requirements, and timely disbursement of payments. The ideal candidate will have strong analytical skills, experience in construction or real estate finance, and a solid understanding of loan administration.

Key Responsibilities Loan Draw Management

Prepare and submit loan draw requests to lenders based on project progress and contractual terms.

Coordinate with project managers, contractors, and lenders to gather required documentation.

Track draw schedules and ensure timely submissions and approvals.

Reconcile draw amounts with project budgets and general ledger.

Payment Processing

Review and process vendor invoices and payment applications.

Ensure payments align with approved loan draws and project budgets.

Maintain accurate records of disbursements and retainage.

Monitor payment timelines to avoid delays or penalties.

Project Accounting

Maintain project-specific financial records and reports.

Assist in budget tracking, cost forecasting, and variance analysis.

Support month-end and year-end close processes related to project accounts.

Collaborate with internal teams to ensure financial accuracy and compliance.

Compliance & Reporting

Ensure adherence to lender guidelines, contractual obligations, and internal controls.

Prepare financial reports for stakeholders, including lenders and senior management.

Assist with audits and provide documentation as needed.

Qualifications

Bachelor’s degree in Accounting, Finance, or related field preferred

2+ years of experience in project accounting, preferably in construction or real estate.

Familiarity with loan draw processes and lender compliance.

Proficiency in accounting software (e.g., QuickBooks, M3, or similar).

Strong Excel skills and attention to detail.

Excellent communication and organizational abilities.

Preferred Skills

Experience with AIA billing and construction draw formats.

Understanding of lien waivers, retainage, and project funding cycles.
