Role Summary This is a full‑time, on‑site role located in Coral Gable, FL, for a Wedding Sales Coordinator at AIC Hotel Group. The Wedding Sales Coordinator will be responsible for coordinating all aspects of wedding sales, including client consultations, venue tours, contract negotiations, and event planning. They will collaborate with clients and internal teams to ensure a seamless and unforgettable wedding experience for all parties involved.
Qualifications
Correspond to all emails and inquiries in a timely manner
Receive and follow up on all wedding leads and RFPs via the All In Weddings website and direct sources
Confirm availability of wedding dates and times in a timely manner
Attend trainings for Salesforce and Opera
Collaborate with property managers on wedding logistics, including venue adjustments due to construction or full property buyouts for large groups or conventions
Work with couples requesting a new date with an existing wedding block in Salesforce
Request cancellations of Weddings in the system
Issue Wedding Contracts as soon as date and time have been confirmed to be available
Send wedding payment links to couples and agents within 48 hours of receiving the signed wedding contract
Be readily available for incoming calls on our queue system
Schedule calls with couples and travel agents if requested
Maintain a close working relationship with Sales Managers and Wedding Managers
Possess knowledge of all hotels in AIC Hotel Group’s portfolio in order to make recommendations to clients
Request Wedding Location availability to the Wedding Managers for each location
Collect and confirm Wedding location deposits
Promote Wedding Inspirational Packages
Understand information on room occupancy and confirm availability if required
Request room occupancy and availability to appropriate team for special exceptions
Using Salesforce daily to reserve all wedding dates and times
Upsell couples the $1,000 Diamond Planning Package
Work closely with Wedding Group Coordinators to close wedding groups
