Position Title Executive Secretary

Hiring Specifications Required:

High School Diploma HiSET or GED.

Five years secretarial and / or administrative assistant experience.

Desired Education and Experience:

Associates Degree in Office Management or related field.

Skills, Knowledge, and Abilities

Highly skilled in PC applications and software.

Ability to work independently or as part of a team to achieve assigned tasks.

Demonstrate interpersonal skills.

Ability to work independently with minimal supervision.

Competency working in a culturally diverse environment or the willingness to acquire these skills.

Basic Function Provide secretarial assistance to high school principal. The essential functions as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the assigned building.

Essential Functions

Manage day-to-day secretarial office activities.

Function as receptionist for visitors.

Coordinate weekly bulletin and calendar and distribute.

Handle the daily intercom message to student body and faculty.

Maintain office machines.

Answer telephones.

Assist teachers with day-to-day operations.

Supervise clerical staff. Coordinate clerical work schedules.

Record teacher substitutes each day. Give Assistance with daily activities etc. Coordinate coverage of classroom in the event of substitute shortage or teacher leaving the classroom due to emergency.

Compile statistics reports and inventories.

Arrange student busing communicate schedules to students distribute bus stickers passes etc.

Prepare and read twice-daily announcements on the intercom.

Prepare Parent Newsletter.

Organize Report Card mailing.

Prepare staff handbook policies and procedures.

Additional Essential Functions (for every DMPS position)

Attend work on a prompt and regular basis.

Maintain confidentiality.

Maintain satisfactory and harmonious working relationships with the public students and other employees.

Assist with other duties as may be assigned.

Reports To: Building Principal

Guidance From: Building Associate Principal

Other Information FLSA Status: Non-Exempt

Full Time / Part Time: Full Time

Days: 260 Hours: 7.5 hours / day

Physical Requirements Constant Sitting Manual Dexterity Task Telephone Computer. Occasional standing walking bending / stooping reaching / pushing / pulling driving lifting (25lbs) carrying (25 feet)

Working Conditions Constant inside. Occasional outside and extremes of temperature / humidity
