Property Manager/Lease Administrator Duties and Responsibilities

Prepare annual budgets for multiple properties using Excel or budgeting software

Monitor projects and report on current cash needs and deficiencies with the executive team

Enter proper billback items in rent management software

Prepare monthly variance analysis for the properties

Review CAM/tax reconciliation statements with the property accountant

Set financial goals for near and future capital projections

Analyze utility consumption and operational costs and identify opportunities to reduce costs

Report to lending institutions and governmental authorities

Tenant and Business Relations

Develop positive working relationships with all tenants and customers

Ensure that all tenant inquiries, and complaints are timely and satisfactorily addressed

Plan periodic tenant relations events

Manage the company’s social media and website

Conduct professional communication, both oral and written on behalf of the Company

Monitor tenant work‑order requests both from a financial and relations perspective

Leasing and Lease Administration

Conduct tours of properties for prospective tenants and customers

Monitor and report on lease compliance

Proficient in using lease management software

Be able to review leases and create lease abstracts

Manage in‑house leasing activities, drafting LOI's and leases

Handle tenant delinquencies, evictions, and coordination with the legal team

Property and Facility Administration

Monitor the condition and operations of the property

Ensure that preventative maintenance is performed by vendors or the maintenance team

General upkeep and maintenance of the facilities and equipment in coordination of the facilities’ team

Maintain and update all databases, such as tenant information, vendor lists and floor plans

Recommend capital improvements and repairs in coordination with the facilities’ team

Conduct bidding process, select vendors and negotiate contracts

Manage the janitorial staff

Skills, Education & Experience

Experience in property management in commercial properties

Minimum of 3 years’ experience in property management required

Ability to handle multiple projects and properties

Exceptional attention to detail, accuracy and organizational skills

Service‑oriented and self‑motivated

A degree in the field of Business Management, Communication, Marketing, or related field

Excellent written and verbal communication skills and relationship building skills

Proficient in Microsoft office software as well as Google platforms

Proficient in using social media and marketing tools

Knowledge of property management software such as MRI and AppFolio

Basic understanding of facilities and equipment

Management experience

Our Property Manager‑Leasing Administrator will be expected to work full‑time Monday to Friday and work on weekends and/or non‑regular working hours as needed, including limited on‑call availability for emergencies. The position will be based out of our offices in Detroit, MI.
