Overview
We are seeking a highly organized and proactive
Executive Assistant
to provide comprehensive support to our
CEO/Executive Vice President (EVP) . Reporting directly to the CEO/EVP, this role requires exceptional attention to detail, professionalism, and discretion. The ideal candidate thrives in a
fast-paced, global business environment , adeptly managing multiple priorities, anticipating needs, and ensuring seamless communication across international teams.
Key Responsibilities Calendar & Travel Management
Maintain and manage the CEO/EVP’s daily and weekly schedule to ensure optimal time management across multiple time zones.
Coordinate all aspects of
domestic and international travel , including flights, accommodations, ground transportation, and detailed itineraries with agendas and briefing materials.
Handle
passport and visa documentation , as well as pre- and post-travel reporting and coordination with global offices.
Administrative Support
Provide project management and executive support by tracking workflows, prioritizing tasks, and ensuring deliverables are met across international operations.
Draft, proofread, and finalize correspondence, reports, and presentations tailored for both domestic and global audiences.
Review and prioritize incoming communications; respond independently when appropriate or flag for executive review.
Meeting Coordination
Schedule and organize meetings via
Microsoft Teams , coordinating across global regions and collaborating with senior leaders worldwide.
Prepare meeting materials, take detailed minutes, and follow up on action items to ensure alignment on international business priorities.
Manage logistics for on-site and virtual meetings, ensuring all necessary resources and translation materials (if needed) are in place.
Confidentiality & Flexibility
Handle sensitive information with the utmost confidentiality and professionalism.
Be available to work additional hours as needed and travel occasionally for international events or executive meetings.
Work
on-site
at our office location (Monday–Friday).
Qualifications
Minimum
5 years of experience
supporting senior executives or executive teams in a
global or international business environment.
Exceptional written and verbal communication skills, with the ability to communicate effectively across cultures and regions.
Advanced proficiency in
Microsoft Office Suite
(Outlook, Word, Excel, PowerPoint); ability to quickly create and edit spreadsheets and presentations.
Strong organizational, problem-solving, and decision-making skills with a proactive mindset.
Experience managing complex calendars and coordinating meetings across multiple time zones using
Microsoft Teams .
Fluency in French and/or Spanish
is a plus but not required.
Work environment - on-site.
Salary:
$80,000–$100,000+ (commensurate with experience)
