Bachelor’s Degree. Two to three years of related office experience or training.

Preferred:

Master’s Degree. Four years of related experience, including part at SRSU or another university.

Primary Responsibilities The Executive Assistant to the VP of Student Life will perform administrative functions that require knowledge of procedures and operations and an understanding of the University’s role within the community. They will:

Manage the schedule and office procedures of the Vice President and Dean of Student Life.

Coordinate activities with major subordinate administrative units of the University.

Provide information and support to members of the Texas State University System, senior administrators, public and private officials, media, students, and parents.

Exercise initiative and independent judgment in managing communications and disseminating information to faculty, students, staff and the various publics served by the University.

Maintain confidential and time‑sensitive information and handle discretion in the dissemination of information.

Essential Duties and Responsibilities

Assign and review work of small clerical staff; keep administrative, fiscal, and academic records.

Prepare and verify documents for accuracy, compose correspondence for signature, and compile complex reports.

Requisition and maintain supplies of materials; provide information policies and procedures to individuals and the general public.

Make arrangements for travel, meetings, and special programs.

Transcribe materials from dictation or drafts; operate PC to perform advanced word processing, spreadsheets, and database management.

Maintain department web pages.

Ensure personal and others’ safety; practice safe work habits; position is Security Sensitive.

Supervision The Executive Assistant reports to the VP of Student Affairs and supervises student and other classified employees.

Working Conditions Office conditions; standard hours; exempt from overtime provisions. Position is Security Sensitive. May be required to work evenings and weekends for university events.

Additional Qualifications

Excellent verbal, written, and communication skills; exceptional command of grammar, punctuation, spelling, and correct usage of the English language.

Bilingual English/Spanish fluency is preferred.

Attention to detail; computer literacy including keyboarding, word processing, spreadsheets, presentation software, and database management.

Excellent organizational skills; ability to work independently, use initiative, and make substantive decisions quickly.

Ability to develop knowledge of, respect for, and skills to engage with those of various cultures or backgrounds.
